POSITION SUMMARY:

The Accounts Payable Specialist is responsible for the day-to-day purchase-to-pay processes for Penske Entertainment (Indianapolis Motor Speedway, IndyCar and IMS Productions). They are responsible for receiving, processing, and verifying invoices from vendors as well as processing payments to vendors.

SPECIFIC DUTIES:

• Open incoming mail, scan invoices and forward invoices via email to AP software.
• Responsible for entering, auditing, and submitting all invoices into the automated approval workflow. Once invoice is approved through the workflow, responsible for reviewing the coding and posting them to the general ledger. 
• Reconcile vendor statements and maintain statement file.
• Responsible for determining whether Indiana use tax needs to be recorded with the invoice.
• Research and resolve discrepancies with the three-way match process. Correspond with departments and vendors when there are discrepancies between receiving documents and the invoices, missing invoices, or questions about invoices.
• Research and resolve payment discrepancies.
• Maintain vendor information. Ensure vendor information is accurate and complete. Set up new vendors.
• Provide administrative support for the company credit card and expense program.
• Audit expense reports, checking for accuracy and if use tax is applicable.
• Assist with month end and year end AP closing processes.
• Monitor transactions in company bank accounts.
• Answer Accounts Payable questions from vendors and employees.
• Train new users to the AP software on the purchase-to-pay process

• Other duties as assigned by manager.

QUALIFICATIONS:

Supervisory Responsibilities

• This position does not have supervisory responsibilities.

Education

• High school graduate or GED with experience in Accounting and Finance or equivalent experience with a Fortune 1000 company.
• Bachelor’s degree in Accounting a plus.

Skills/Experience

• Two to five years of experience in Accounts Payable operations.
• Good knowledge of the purchase-to-pay process.
• Ability to communicate with senior management and across functional departments and business units.
• Proficient in Microsoft Excel, Word, Outlook, Adobe.
• Experience with Microsoft Dynamics Great Plains, Esker or system administration with SAP Concur a plus.
• Strong numerical, written, and analytical capabilities.
• Ability to work independently, take initiative and multi-task while maintaining attention to detail.

Travel/Work Hours/Flexibility

• General office hours are Monday – Friday, 8:30am – 5:00pm
• Longer hours and weekends required for the Month of May and other major racing events
• Penske Entertainment acknowledges that the need for flexibility varies across all companies/departments and is not best addressed by a one size fits all flexible work policy. • For this role, work requirements typically fall within normal business hours with little to no requirements for travel
