Job Overview: The Human Resources Specialist reports directly to the HR Assistant Manager and is responsible for the following: process payroll and assist with the administration of medical benefits and retirement 401(k) plan, individual will serve as a liaison between employees and management. Maintain compliance with federal, state, and local employment laws and regulations, recommended best practices, reviews policies and practices to maintain compliance.
Duties and Responsibilities:
· Process company payroll semi-monthly; including processing final payroll paychecks
· Maintain balances for unpaid time off, vacation time, and sick pay on Paycom and excel spreadsheet
· Update salaries, exemptions, insurance coverage, and other authorized payroll deductions in the HRIS and personnel files
· Keep supervisor informed of day to day operations and questions regarding payroll, personnel or benefit questions
· Performs a variety of duties in administering the employee’s benefits and enrollment programs, including medical, dental, vision, and 401(k)
· Maintain the company’s compliance with the Affordable Care Act (ACA) regulations
· Assists in HR New Hire Orientation, including Paycom, benefits, and COVID-19 safety
· Reviews tracks and documents compliance with mandatory training
· Assist in medical leave of absences under, PDL/FMLA/CFRA and ADA Leaves, including interactive process
· Maintain current knowledge of payroll practices, applicable state/federal/labor laws, FMLA regulations, COBRA regulations, and benefit administration
· Coordinate the annual open enrollment, including preparation of all materials for all eligible employees
· Enter all enrollments, terminations and COBRA in the insurance carrier websites
· Answer questions regarding benefits and payroll as needed
· Responsible for completing EDD reports, SDI, garnishments and employment verifications
· Review and prepare end of year 1095 filings for all eligible employees
· Maintain the company’s compliance with the Affordable Care Act (ACA) regulations
· Ensure all employees are in compliance in accordance to company and regional center guidelines
· At the HR Managers’ discretion attends and participates in employee disciplinary meetings, terminations, and investigations
· Maintain DMV Pull Notices and update in employee personnel files
· Back up to Associate and Dis-associate employees into the correct department
· Back up to Create criminal clearance transfer request for licensing
· Back up to Notify licensing for clearance updates and updated rosters
o Email updated rosters to the house administrators
· Conduct monthly audits for benefits, payroll, personnel files and HRIS
· Perform additional tasks and projects as assigned by the Supervisor
Qualifications:
· Bachelor’s degree in business administration, preferred
· Human Resources or a relevant field experience
· A minimum of 3 years’ proven experience in a similar role
· Strong knowledge of employment laws and payroll processes
· Strong verbal and written communication skills
· Solid problem-solving and team management abilities
· Proficient in Microsoft Office Suite
· Knowledge of Human Resources Information Systems (HRIS)
· Multi-tasking and time-management skills, with the ability to prioritize tasks
