General Summary

This position will perform office support tasks for the Office of Research and Graduate Studies, such as:

  • Order office supplies and conference supplies, P-card purchases
  • Manage non-academic aspects of workshops, meetings, and conference organization
  • Enter vouchers on Colleague
  • Maintain website and digital media, create flyers and newsletters, maintain mailing lists and distribute mass mailings
  • Generate and send invoices for journal articles (including following up with authors)
  • Maintain membership information, invoice, deposit checks
  • Serve as inventory steward
  • Administrative assistance for AVP on such tasks as scheduling meetings, coordinating meeting correspondence/documents, taking minutes, coordinate information for awards

Additional Information

Research and Graduate Studies has several units. Some have their own support staff but some do not. Most work encompasses assisting the Associate Vice President, Business Manager, other direct reports, and small centers such as Intercollegiate Biomathematics Alliance, the Office of Student Research, and the Center for a Sustainable Water Future.

Required Qualifications

  • High school graduation or equivalent.
  • Any one or combination totaling two years (24 months) from the categories below:
    a. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
    • 30 semester hours equals one year (12 months)
    • Associate’s degree (60 semester hours) equals eighteen months (18 months)
    • 90 semester hours equals two years (24 months)
    • Bachelor’s degree (120 semester hours) equals three years (36 months)
    b. Work experience performing office/clerical activities, including the use of computer systems.
  • One year (12 months) of work experience comparable to the second level of this series.

Work Hours

Monday through Friday, 8:00am-4:30pm

Functional Expectations

Must be able to complete the following with or without a reasonable accommodation:

  • Remain at a workstation for extended periods
  • Move about in various locations across campus as needed to complete day-to-day work
  • Effectively communicate on a daily basis

Salary Rate / Pay Rate

$16.68 - $17.33 per hour

The Civil Service examination for this classification is based on your application materials and responses to the supplemental questions.
