Job Title: Accounting Associate

Reports to: Controller

Department: Finance

FLSA Class: Non-Exempt - FT

Updated: September 2022

Summary: The Accounting Associate supports the Controller and Chief Financial Officer in a variety of areas; including financial accounting, accounts payable, and payroll.

Job Responsibilities:

General Responsibilities

  • Perform daily and month end accounting functions; including but not limited to journal entries, payment posting, deposit slips, etc.
  • Process and maintain the organizations bi-weekly payroll
  • Follow generally accepted accounting principles (GAAP)
  • Maintain organized workspace and electronic records
  • Other duties as assigned.

Accounts Payable Responsibilities

  • Prepare accounting reports and maintain accounts payable ledger
  • Process and record vendor invoices and keep organized records for retention
  • Process payment of the organizations bills by check, online bill pay, or ACH transfer
  • Manage online access and admin rights to all vendor accounts
  • Communicate with department purchasers and pay bills on time
  • Communicate with vendors to resolve accounts payable issues, state tax exemption documentation, 1099 reporting, resolution of credit balances, etc.

Payroll Responsibilities

  • Ensure State and Federal tax reports are prepared and submitted with payments as required
  • Reconcile Workman’s Compensation and Fringe Benefit obligations
  • Complete bi-weekly allocation for various elements of payroll, i.e. accrued wages and PTO
  • Manage and ensure appropriate garnishments and other such deductions are maintained and processed
  • Post changes in pay and tax status, and miscellaneous changes as directed by HR
  • Run payroll reports as needed, and maintain organized electronic pay files
  • Upload and export data as required to prepare and enter all payroll journal entries

Financial Accounting Responsibilities

  • Prepare and enter journal entries for deposits, recurring transactions, prepaids, etc.
  • Update graphs and charts that report organizational accounting metrics
  • Maintain organized electronic financial records and attachments for all transactions
  • Follow finance department policy and procedure, as it relates to segregation of duties and responsible management of organizational assets.

  3. Quality Improvement:
    1. Develops realistic plans; balances short and long-term goals; uses time and resources effectively; prioritizes duties in a manner consistent with organizational objectives and emergencies; meets deadlines and follows through; requests assistance when necessary to complete duties
    2. Pursues goals with commitment and takes initiative eagerly; results-oriented; desires to excel on the job; works steadily and actively; demonstrates self-confidence and positive attitude.
    3. Demonstrates accuracy, thoroughness, and reliability; manages time and priorities; develops and follows work procedures
    4. Attend all applicable facility in-service and staff developmental activities as scheduled.
    5. Monitors and takes initiatives to adhere to compliance aspects of the position.
    6. Evaluates own practice and accepts constructive feedback regarding performance.

Qualifications:

  • Associates degree in accounting preferred or equivalent work experience.
  • 1-2 years of financial/accounting experience preferred.
  • Proficient use of Microsoft Office Suite.
