Housing Works fights for funding and legislation to ensure that all people living with HIV/AIDS have access to quality housing, healthcare, HIV prevention, and treatment, among other lifesaving services.

This position is included in a bargaining unit of Housing Works’ New York City employees represented by a labor union known as the Retail Wholesale and Department Store Union (“RWDSU”). Accordingly, the RWDSU has the exclusive right to bargain over the terms and conditions of employment related to this position and this position may become covered by the terms of a collective bargaining agreement (a “CBA”) between Housing Works and the RWDSU
Compensation Range: $17/hr - $18/hr commensurate with experience
Overview:
The Administrative Assistant will strengthen the department’s efforts by providing critical administrative, operational, and event support. The Administrative Assistant is responsible for tasks related to managing office operations and procedures, including data management, inventory control, scheduling. Reporting to the Program Director of the Ready For Work, they will assist the department in data management and support the efficiency and organization of the department through administrative tasks
Responsibilities:

  • Provide administrative support by performing recurring tasks such as:
    • ordering office, program and marketing supplies;
    • reconciling Metro card purchases and Petty Cash;
    • submitting payment requests for vendors and reimbursement;
    • and other logistical duties as assigned.
  • Manage staff and participant data in AIRS including maintaining clean files, troubleshooting database issues, and organizing information in meaningful ways to be used for outreach.
  • Distribute Stipend and Metro Card to Peers
  • Process internship invoice for stipend checks
  • Generate and maintain weekly class attendance
  • Create and utilize spreadsheets, reports, and graphs to communicate data effectively
  • Participate in orientation support for new cycles
  • Engage in weekly supervision with the Program Director
  • Attend Advocacy Department meetings on days of work
  • Attend Housing Work staff meetings and training.
  • Attend external community and coalition meetings when applicable.
  • Perform other duties as assigned.
Minimum Requirements
  • Bachelor’s degree in a relevant field
  • Proficiency in all Microsoft Office applications, computers, email, web- based systems and electronic records.
  • Knowledge in creating and editing spreadsheets in Excel required
  • Good verbal and written communication skills
  • Must be exceptionally organized and able to work independently
  • Computer literate
  • Exemplary customer service as well as written and verbal communication skills
