Household Staffing is Hiring an Executive Assistant to the CEO Near Old Greenwich, CT

 

Our client, a financial services organization, is seeking an experienced Executive Assistant to support the Founder and CEO. The position is located in both Old Greenwich, CT and New York, NY. The ideal candidate will be flexible to travel back and forth between both locations. The job responsibilities include but are not limited to, the following:
  • Manage calendar and send meeting requests using Microsoft Outlook
    • Schedule senior-level meetings (domestic and international) and manage the corresponding logistics (time zone conversion required)
    • Coordinate with internal and external resources such as Tech Support; reserve conference rooms
    • Schedule personal meetings/appointments while exhibiting the highest level of discretion and confidentiality
    • Insure CEO and Founder is fully aware of his daily meetings via daily calendar printouts, email reminders, etc.
    • Manage last-minute changes to schedule (cancel/re-schedule meetings) as required
  • Oversee business and personal incoming communications (mail, email, telephone, voicemail), and respond when and where appropriate with minimal direction and absolute professionalism
  • Complex global business and personal travel arranging with many changes throughout the duration of the trip; coordinate with domestic and global offices/contacts/vendors prior to and during the trip to facilitate changes/updates; act as “gate-keeper” and take appropriate steps to insure all runs smoothly behind-the-scenes; flexibility in hours required (work device, evenings/weekends); prepare detailed trip itinerary and update as necessary throughout the trip; experience with charter flights a plus
 
Position qualifications:
  • Possess a four-year college degree
  • Have a minimum of 5 years of experience in a similar capacity supporting a senior level executive
  • Have basic business literacy; experience in the financial industry preferred
  • Experience working in a highly demanding environment while exhibiting a keen sense of urgency; must show flexibility in hours/availability as needed (BlackBerry, evenings/weekends)
  • Must be able to think independently and self-manage, prioritize, show excellent judgment, resourcefulness, independence of thought, sense of entrepreneurship; possess a strong sense of pride and ownership of projects
  • Experience working with highly confidential information; must show the highest degree of discretion, integrity, professionalism, polish and diplomacy
  • Superb organizational skills are required; must be able to handle multiple tasks efficiently and effectively, meet tight deadlines, all while showing exceptional attention to detail and follow-through
  • Experience arranging complex global travel; savvy with global time zones, knowledge of Time Zone Converter or similar programs
  • Possess strong technical skills (Microsoft Outlook, Word, Excel, PowerPoint)
  • Ability to systematically track meetings by function, aggregate and report periodically
  • Exhibit excellent communication skills in person, on the phone, by email and voicemail
  • Ability to be a team player and interface well with all departments/layers of the firm
  • Knowledge of QuickBooks is a plus
  • Notary Public/State of Connecticut is a plus
COMPENSATION:
$130,000 - $150,000 based on experience
Bonus
Full health benefits 100% paid by the organization
