Overview

The Hotel Effie Sales Coordinator is responsible for clerical, administrative, marketing materials, and other duties to assist in the smooth operation and support of the Sales Team. He/she is also responsible for providing attentive, courteous, and efficient service to all guest.

Responsibilities

  • Perform general office duties to support Sales (e.g., filing, sending emails, typing, copying).
  • Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, or other communications).
  • Promote awareness of brand image internally and externally. Gather materials and assemble information packages (e.g., brochures, promotional materials).
  • Assist the Sales team in maximizing revenue while maintaining existing guest loyalty.
  • Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in software involved in the sales process.
  • Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, and special events).
  • Serve as the point of contact for clients as requested and communicate with them by phone and email to respond to questions and requests.
  • Input and maintain group blocks, as well as group billing.
  • Input billing instructions when applicable.
  • Input of booking sheets and group reservations by rooming list.
  • Any changes, adds, deletes, or room blocking for any group reservation.
  • Audit group files.
  • Maintain contact with meeting planners, sales, conference services, and any other necessary departments.
  • Understanding of group contracts
  • Preparing and updating pickup reports for the sales team.
  • Attend all necessary meetings and pre-cons.
  • Maintain close working relationships with other departments.

  • Follow all Highgate Hotel/Hotel Effie policies and procedures; ensure personal appearance is clean and professional.
  • maintain the confidentiality of proprietary information; protect company assets.
  • Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; thank guests with genuine appreciation.
  • Prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.
  • Comply with quality assurance expectations and standards.
  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance.
  • Attend all hotel-required meetings and training.
  • Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming.
  • Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.
  • Maximize efforts towards productivity, identify problem areas, and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary.
  • Must be able to understand and evaluate complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to maintain the confidentiality of information.
  • Perform other duties as requested by management.
  • High School diploma or equivalent required and/or experience in a hotel or a related field preferred.
  • At least 2 to 4 years of progressive experience in a hotel or sales, marketing-related field preferred.
  • College degree preferred.
