Hot Springs Advertising & Promotion Commission is Hiring an Office Manager Near Hot Springs, AR

The Majestic Park Baseball Complex is looking for an Office Manager to join the team to help organize the office procedures, and assist the General Manager and Assistant GM in the day to day office operations. Job Summary: The Majestic Park Office Manager oversees and supports administrative duties in the Majestic Park office and assists the General Manager as needed.

Fair Labor Standards Act (FLSA) status: exempt - paid salary

Specific Job Duties and Responsibilities:

  • Performs receptionist duties: greet visitors, and answers and directs phone calls.
  • Receives and sorts incoming mail and deliveries, and manages outgoing mail.
  • Develops office policies and procedures, and ensures they are implemented appropriately.
  • Monitors office supplies and orders new supplies as needed.
  • Maintains department equipment by completing preventive maintenance; troubleshooting failures; and calling for repairs.
  • Provides other administrative support as necessary, including scheduling, maintaining calendars, doing research and creating reports.
  • Managing, staffing, scheduling, and inventory of park concessions.
  • Receiving and accounting for all monies received for Majestic Park. ex: (League, concessions, tournaments, park rentals, etc.)
  • Managing and maintaining a schedule for staff as assigned by the General Manager.
  • Performs duties and functions as assigned by the General Manager, that relate to park operations.
  • ADDENDUM for COVID-19: Adapts to changing responsibilities and duties that are a result of the COVID-19 pandemic. Exercises resourcefulness and flexibility, assisting in duties that are not typical to this position, such as, but not limited to, setting up tables and chairs, helping with housekeeping duties, serving as a greeter for guests. The period of time these extra duties may be required will be determined by management based on what is necessary for the well-being of the organization.

Minimum Experience, Skills or Education Required:

  • Bachelor's degree preferred or commensurate experience; two to five years experience in an administrative/office management role.
  • Must have exceptional attention to detail.
  • Must have strong organizational and time management skills, and ability to prioritize.
  • Must be a self-starter and driven.
  • Excellent oral and written communications skills. Must have developed language skills to the point to be able to read newspapers, periodicals, journals and manuals. Write business letters, summaries and reports, using prescribed format, and conforming to all rules of punctuation, grammar, diction and style.
  • Must be able to work with all kinds of people.
  • Must have mathematical development sufficient to be able to add, subtract, multiply and divide all units of measure.
  • Must be proficient with Microsoft office and Google products.
  • Must be able to work flexible hours when necessary.
  • Must be able to be bonded.

Working Conditions: The office manager works in a climate controlled office environment.

Physical Demands: Lifting 20 pounds maximum with frequent lifting and/or carrying of objects weighing up to 10 pounds. Requires sitting, walking or standing to a significant degree. Talking. Hearing.
