Work Schedule: Full-time

Reports To: Special Projects Director

Primary Location: Los Altos HQ

Introduction

HPS Palo Alto, Inc. (Home Preservation Services) provides homeowners with a long-term, highly-systemized, preventive maintenance and repair program called Stewardship. This is a proprietary service developed from decades of experience working on maintenance, repair and new construction projects for clients in San Francisco’s mid-Peninsula region. 

Our mission is to transform the experience of home ownership with Stewardship systems that maintain, repair, and improve people’s homes and lives. Stewardship removes the physical burdens of home ownership allowing homes to become nurturing spaces where our clients enjoy their time with their families and friends. 

We currently serve over 250 long-term clients and are growing rapidly. As our client base grows, our search for talented individuals to join our team grows. 

Position Summary

The Project Manager is the primary point of contact for large repairs or Special Project activity on a home. This individual is a seasoned builder with expertise in all building trades, interpretation of plans, job site management and hands-on craftsmanship. The PM represents HPS as the central hub of communication for all project-related facilitation and correspondence. PMs, on occasion, may be tasked with small repairs or project labor duties during slow or low-volume periods due to the cyclical nature of the construction industry.

The Project Manager is expected to plan several weeks or months in advance for each project, so that other personnel on the job sites can plan in shorter-term intervals to meet the project deadlines. The Project Manager will continually check in on daily and weekly progress to ensure schedules and expectations are maintained with both HPS Management and its clients.

The Project Manager may be tasked with managing a small number of large, complex projects, or a larger set of smaller and less complex projects. This depends on the current demands of our customers and general market conditions for construction. 

Responsibilities

The Project Manager reports directly to the Special Projects Director. Together with company leadership, the Project Manager is expected to contribute to the improvement of our customer service and Special Project procedures.

  • Pre-Construction – project estimation, subcontractor sourcing, vetting and proposal review, jobsite mobilization and setup.
  • Job Coordination – manage jobsite personnel via scheduling, site access and parking, site organization, material and debris staging, adherence to company safety program procedures, ensure residential construction best practice is achieved at all times, quality control.
  • Job Supervision and Delegation - delegate tasks to the site Foreman, Superintendent, or whichever position is available on-site to adequately oversee the needs of the project in the PM’s absence. Receive daily check-ins from site personnel on job status and communicate to client.
  • Time Reporting – post time entries with detailed notes to company time tracking system DAILY. Notes must include industry-specific terminology, name and company of other individuals onsite, and what was accomplished during the notated time frame.
  • Progress Reporting –establish and implement a progress reporting system that is mutually agreeable for client and PM. This could be weekly/daily emails, routine in-person meetings or phone calls. If latter two, must be followed up by email of minutes for archiving. AT MINIMUM, the PM should summarize the week’s progress to the client at the end of each work week, and project the next two weeks of work with tentative schedules. The PM will work with the Special Projects Director and Assistant Project Manager to keep schedules and crews on-task.
  • Progress Tracking – update project management software (Asana) with date changes, completions, new tasks needed, and all other information related to the project. This is required for accurate record keeping of the jobs, allowing other staff to be prepared to answer client questions on timing and details, and to plan ahead so that HPS staff and subcontractors can be prepared.
  • Budget Tracking – create, update and archive Scope and Budget Forecast documentation, archive all subcontractor and material costs so that at any given time HPS management or clientele may inquire about budget and have immediate access to all information
  • Teamwork with Stewardship and Repairs – respect and support the procedures and protocols of the HPS Stewardship division, contact Stewardship Coordinator or GM prior to reaching out to technicians for assistance or information whenever possible. Work with Repair Coordinator to schedule HPS Repair Team and small repairs.
  • Customer Service – the PM is a client advocate first and foremost. All operations and communications must take into account the needs and preferences of the client
  • Internal Meetings – bring previous week’s Expense and Invoice Reports, ensure all project binders up-to-date and project records are maintained (both digital and hard-copy)
  • Repairs – execute small repairs when necessary per the request of HPS management. Be proactive in identifying needed repairs in the field.
  • Other – HPS may require PMs to undertake administrative tasks, participate in strategic planning, or miscellaneous duties if there is a reduced influx of projects.

What You Bring

  • 5 years working as a carpenter in high-end new construction or remodeling
  • 5 years working in leadership capacity such as job foreman, superintendent or Project Manager
  • Exposure to and strong understanding of all building trades (ie. site work, foundations, rough and trim carpentry, cabinetry, plumbing, electrical, HVAC, etc.)
  • Ability to forecast job needs and record in systems for team collaboration
  • Construction vehicle with all tools
  • Active California or other state Building Contractor License a plus
  • Conversational Spanish speaking ability a plus
  • Ability to manage 2 to 3 large projects at once in addition to 5 to 7 small projects
  • Perform building tasks and repairs
  • Lift up to 50 lbs. frequently
