Hoffmann Hospice is recruiting for a full time Executive Assistant. Position is Monday through Friday - 8am-5pm - 40 hours per week. Responsibilities include:
1. Maintain knowledge of Administrative calendars and assist with coordinating meetings.
2. Attend, dictate, transcribe, distribute, file and maintain minutes from the Board of Directors’ and all other meetings as requested.
3. Create and maintain contracts as directed by Administration.
4. Compose and type correspondence as requested.
5. Organize and facilitate the planning of Christmas parties, luncheons and other events as needed.
6. Oversee the maintenance of the building (housekeeping).
7. Notify Board of Directors of meeting, preparing accordingly and notify anyone giving report of upcoming Board meeting, coordinating presentations as necessary.
8. Create reports for Administration, trending results as requested.
9. Other clerical duties as requested.
Successful candidate will have 5 years in an executive level administrative position, excellent verbal and written communication skills, excellent organizational skills and attention to detail. All candidates must have the ability to function well in a high-paced and at times stressful environment and have extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
