JOB DESCRIPTION
POSITION SUMMARY: The Safety Administrator, is responsible for supporting the written safety programs, procedures and requirements of the safety department. The safety department as well as the project teams depend on the support from this role to ensure safety policies, procedures and practice are adhered by.

PRINCIPLE RESPONSIBILITIES:

  • Establis hing and maintaining department records and files
  • Updating project safety documents, recording meetings, filing, mailing and distributing safety correspondence
  • Coordinate Trainings
  • Manage OSHA 300 logs
  • Handle all project-specific badging processes
  • Conduct all audits withing Access software
  • Facilitate all site-specific onboarding processes
  • Manage the BIM 360 Safety system- Key Performance Indicator (KPI) documentation
  • New Safety Mojo system.
  • Manage the Safety lunches and employee Incentive program
  • Manage the Black Hat program
  • Ensure all incidents are reported, documentation is completed and filed.
  • OCIP enrollment: includes issuing notices of awards of sub-tiers and verification that all subs are enrolled prior to starting work

ESSENTIAL FUNCTIONS:

  • Standing/Walking/Sitting: workday is combination of standing, walking and sitting
  • Must be able to climb stairs: 5% of day
  • Hands/Arms: constant use of hands/fingers for mouse/keyboard/computer use
  • Sight: visual acuity in near, mid and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination
  • Hearing: sufficient to hear conversational levels in person and over the telephone
  • Speech: sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone
  • Bending/Twisting: minimal
  • Kneeling/Crouching/Crawling: minimal
  • Constant mental alertness, accuracy, and attention to detail required
  • Must be able to work independently, make decisions, and follow through on all assignments
  • Must use creativity, independent judgment, and organizational and problem-solving skills to determine best method to accomplish desired results
  • Must be able to plan and organize work
  • Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, interpret construction related documentation and communicate with coworkers

QUALIFICATIONS, SKILLS AND ABILITIES:

  • Must be a high school graduate or equivalent
  • A minimum of 3 years administrative support experience is required
  • Must be an Oregon notary or apply for one upon employment
  • Effective verbal, written and electronic communication skills
  • Proficient with Microsoft Office Suite including Word, Excel, PowerPoint, Outlook. MS Teams and DocuSign
  • Strong organizational skills and possess excellent collaboration with team members
  • General construction knowledge and ability to understand construction terminology and process would be considered an asset.
  • High standards of ethics and confidentiality to coordinate sensitive information.
  • Ability to demonstrate assertiveness and work in a fast-paced environment.
  • Ability to effectively prioritize workflow and has exceptional organizational and planning skills
  • Ability to exercise good judgment, show initiative, be proactive, and take ownership of issues to ensure completed to a high standard of quality and accuracy
  • Self-starter with the skills to research and complete tasks with limited supervision
