This opportunity entails partnering with office project finance and management teams across the firm to support 4for4 performance items regarding project cost presentation and invoicing to HNTB’s Clients. This position performs project cost analysis to ensure costs incurred on the project are invoiced timely, accurately and per contract billing notes to HNTBs clients. Responsible for invoicing clients in adherence to contractual obligation and are in compliance with internal and external governance requirements; these include FAR / GSA regulation. Maintains the firms cash flow by proactively providing cost reconciliation with each monthly invoice while managing subconsultant payments and cash flow. What You’ll Do: Produce invoices in compliance with Enterprise Operations Cash Management (EOCM) internal accounts receivable narrative. Reviews client requirements via utilization of contract billing notes, workflow and client invoice mapping. Ensures accurate upload of invoice data to Oracle for financial reporting. Assist Project Managers and business staff by performing monthly financial analysis of costs invoiced compared to gross revenue earned on all HNTB Cost Plus contracts. Work with the project team/ project analyst to provide reconciliations and recommendations to align the billable verse actual earnings ratio. Collaborate with the project team to establish initial client invoice mappings (CIM). Organize review of the CIM, billing notes, PWP terms and contractual validation. Update CIM timeline accordingly and communicate requirements with internal and external clients. Proactively tracks and reports on receivables and delinquent billings. Establish and monitor action plans for effective cash resolution on projects. Access the firm’s Financial Reporting System to input approved invoice values. Perform a weekly reconciliation of amounts posted in AR against amount reported as approved invoice status. Responsible for accurately reporting and maintaining the firm's subconsultant costs subject to the contract’s terms. Ensures payment is released to subconsultants through management of their invoice with its corresponding AR invoice. Maintain the firm's invoicing tracking approach to assess progress of outstanding balances billed, able to provide estimates of office and/or firmwide invoicing amounts by accounting week. Analyze account progress to produce reports on delinquent billing with potential resolutions as well as deliver the firmwide projected delinquency balance throughout the accounting month.
