Hire Options Inc is Hiring a Firm Administrator Near Los Angeles, CA

Growing business law firm located in Downtown Los Angeles is seeking a Director of Operations/Firm Administrator with extensive experience to manage and oversee Firm's daily operations. The Director of Operations/Firm Administrator will work closely with Firm Management and key stakeholders across the Firm to develop operational and financial objectives, and implement policies to support the Firm’s goals. Strong project management, communication, and analytical skills are required. The ideal candidate will have the ability to understand law firm operations and finances, and perform supervisory functions over the Firm’s overall management, marketing, IT, and accounting departments. The Director of Operations reports to the Firm’s Managing Partner and is based in the Los Angeles office (but work involves all of the Firm’s offices).

Responsibilities:

Operations:

  • Staff/HR management:
    • Oversee other exempt employees - Accounting Manager, IT Manager, and Marketing Manager – in their performance of their jobs
    • Non-exempt staff management: monitor attendance and manage workflow of legal assistants, front desk personnel
    • Coordinate evaluations and performance reviews of IT Manager, Accounting Manager, and Marketing Director, as well as other administrative staff, for reporting to Managing Partner
    • Oversee onboarding, orientation programs for new employees, and exit protocols for departing employees (actual onboarding/offboarding conducted by staff)
  • Contract management:
    • Research and vet proposals for outside vendor contracts and expenses, including various insurance policies
    • Review and approve IT Manager’s proposals for hardware, software licensing, outside IT vendor contracts and expenses, development of new or modified IT and security policies
    • Manage all of the firm’s contracts with third parties, including leases, equipment, procurement, insurance, HR agreements
  • Policies and implementation
    • Manage the rollout and compliance with Firm’s IT, privacy, HR, and other operational policies in conjunction with IT Manager, Accounting Manager, and Marketing Manager
    • Review and prepare or recommend updates for policies as appropriate
  • Oversee management of the Firm’s assets
  • Oversee conflict check procedures (actual conflict check run by staff)
  • Support Equity Partners on business decision making as appropriate
  • Execution and implementation of decisions and policies set forth by the Managing Partner

Financial/Accounting:

  • Research and propose external payroll processing programs
  • Oversee monthly reconciliation
  • Oversee accurate implementation of reimbursement policies
  • Oversee expense processing, reporting for proper coding and recording to appropriate accounts
  • Manage the Firm’s banking relationships

Soft Skills and Qualifications:

  • Excellent communication, management, and people skills
  • Ability to effectively interface with executives and represent the firm externally
  • High level of ethical integrity
  • Ability to keep up with latest trends in law firm management and legal markets in multiple jurisdictions
  • Minimum 8 years of experience in a relevant position, including a minimum of five years as a supervisor managing high performance teams
  • Ability to work in a fast-pace, dynamic environment
  • Experience and understanding of legal services business strongly preferred; experience in a professional service industry required; business experience in different geographical areas of the U.S. and outside the U.S. preferred
  • Bachelor’s degree required
