Responsibilities

As a Facilities Coordinator with Hines, you will play a critical role in delivering a positive workplace experience by leading the teams responsible for providing high-touch, hospitality-focused technical support services. You will own quality assurance and daily work management processes for operational specialty areas including, but is not limited to, room management, move management, furniture and cable management, space reset, mail services, ergonomic assessments, and other critical services. Responsibilities include, but are not limited to: 

  • Operations management

    • Oversee routine site inspections; Ensure work orders are submitted as appropriate.

    • Support the Service Coordinator and ensure that on-site triage is conducted as needed to ensure work is assigned in a timely manner.

    • Oversee technical scope of work development including identifying material lists and safety hazards.

    • Oversee service delivery for assigned service areas; Monitor and review work quality and work order resolution.

    • Assist with the implementation of strategic, operational, and service improvement plans. 

    • Assist with collecting and analyzing operational data to provide accurate reporting and insights for services, work order productivity, cost savings, and improvements.

    • Assist with the development of the annual budget, annual plan, and variance analysis.

    • Administer the materials and supply management processes for all users.

  • Work and knowledge management

    • Communicate regularly with customers regarding status updates and service requests ensuring that all requests are handled promptly, and services are tailored to the individual.

    • Ensure work requests are processed correctly and resolved within the defined service levels.

    • Ensure all work is properly recorded in the system of record.

    • Resolve assigned work orders including follow-up with customers as appropriate.

    • Contribute to the account knowledge base and ensure knowledge remains up to date.

  • Vendor management

    • Serve as the primary on-site point of contact for vendors and escort vendors to work locations.

    • Perform quality assurance for vendor-performed work.

    • Oversee vendors providing services and supplies in assigned service areas.

  • Team leadership and supervision

    • Develop and maintain ethical and courteous relations with clients, occupants, landlords, and service partners.

    • Supervise and oversee personnel activities for all assigned personnel.

    • Ensure all program staff meet training requirements.

    • Promote a culture of diversity and inclusivity for all team members.

Qualifications

Minimum Requirements include:

  • Bachelor’s degree from an accredited institution or equivalent work experience.
  • Three or more years of professional experience required.

  • Experience leading teams or supervising the work of others.

  • Project coordination.

  • Promoting positive employer branding.

  • Assuring a safe environment for work.

  • Interpersonal and communication skills.

  • Ability to develop positive relationships.

  • Familiarity with facilities management operations.

  • Experience with computerized maintenance management systems.

  • Ability to interpret technical instruction in mathematical or diagram form.

  • Commitment to hospitality, ensuring that all actions contribute to a positive customer experience.
