This Opportunity

Heitman’s Human Resources team is seeking a Talent Acquisition Assistant to support the full life-cycle recruiting process. The ideal candidate will be a highly organized and detailed self-starter who thrives in a dynamic, fast-paced environment.

The Talent Acquisition Assistant will report to Heitman’s Corporate Recruiter and will have opportunities to work directly with the full HR team on a wide range of projects and initiatives.Our team works in a hybrid environment, with 3-days spent working in Heitman’s office each week.

The responsibilities of a Talent Acquisition Assistantinclude, but are not limited to:

  • Coordinate recruiting process on behalf of Heitman’s Corporate Recruiter, including posting new jobs, posting internal announcements, scheduling interviews and debriefs, booking travel and hotels for candidates when required, entering candidates into the visitor log and reserving conference rooms for in-person interviews, and completing ad hoc talent acquisition reporting
  • Manage pre-onboarding process for all new hires, including conducting reference checks, initiating and monitoring background checks through our third-party service provider, corresponding with new hires regarding cleared background checks and business card orders, posting new hire announcements on Heitman’s intranet page, entering new hires into the visitor log, and preparing new hire orientation packets and other deliverables
  • Manage onboarding process for all new hires, including collecting and completing I-9 forms and processing e-verify, as well as uploading new hire forms in Heitman’s HRIS
  • Co-manage and monitor the Recruiting mailbox alongside the Senior HR Coordinator to ensure emails from candidates and hiring teams are addressed in a timely manner
  • Monitor the General HR mailbox and forward correspondence to the appropriate HR professional to ensure items are addressed in a timely manner
  • Coordinate the ordering and delivery of service award gifts for all Heitman employees
  • Handle all HR related posts and announcements, such as work anniversaries, on Heitman’s intranet page
  • Book travel and hotels, process expense reports and handle miscellaneous invoices for the broader HR team as needed
  • Assist with other special projects, as needed

We are seeking individuals who meet the following criteria:

  • 1-3 years of administrative experience with heavy calendaring required
  • Strong written and oral communication skills – clear and organized thinking, an engaging personal style
  • Strong interpersonal skills - high energy, creative, enthusiastic, results oriented, self-starter, motivated
  • Proven ability to handle sensitive and confidential employee information
  • Positive, can-do, attitude
  • Professional team player
  • Detail oriented
  • Strong organization and time management skills, ability to manage multiple projects in a fast-paced environment
  • Strong computer skills (Word, MS Outlook, Excel, etc.)
