As the receptionist you are responsible for handling front office reception and administration duties, answering phones, handling inquiries, and sorting and distributing mail.  You will also act as back up to the mail room clerk. In this role you will:

  • Greet all callers using a multi-line telephone switchboard, screening, and forwarding calls, providing information, taking messages, or scheduling appointments.
  • Transmit information or documents to clients and staff, using computer, mail, or facsimile machine.
  • Hear and resolve complaints from clients or the public.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Receive payment and record receipts for services.
  • Ensure knowledge of staff movements in and out of organization.
  • General administrative and clerical support tasks including CD uploading and indexing.
  • Use good judgment to discern what issues may be urgent and need a manager’s or director’s attention immediately.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Tidy and maintain kitchens/break rooms.
  • Perform mail room clerk duties as needed for back up.

 To be successful in this role you will need: 

  • High School Diploma. Degree preferred; or equivalent combination of education and experience
  • Fluent Spanish required
  • 3 years customer service experience
  • 2 years receptionist experience
  • Switchboard and Multi-line telephone experience (VOIP experience preferred)
  • Excellent telephone, communication, and active listening skills
  • Minimum 40 WPM typing speed
  • Ability to work well with others as a team
  • Has professional manner and high energy level, exhibits a positive attitude
  • Strong interpersonal skills, respectful and courteous nature
  • Multi-tasking skills and the ability to work well under pressure
  • Reliability and dependability
  • Ability to stay calm under pressure
  • Problem analysis and problem-solving
  • The ability to maintain client confidentiality at all times
  • Ability to deal with difficult clients or customers
  • Valid driver’s license and clean driving record
