As part of our commitment to excellence, we are seeking a detail-oriented and customer-focused Front Office Receptionist to join our team. This role involves efficiently handling incoming phone calls, providing essential support to the Broker In Charge, managing office inventory, and ensuring all lead inquiries are addressed promptly and professionally.

Responsibilities:

Administrative Tasks: Handle day-to-day administrative duties, including phone and email correspondence.
Organize and maintain accurate records related to property management contracts, leases, and client communications.
Prepare and distribute reports as needed.
Support the Broker In Charge in maintaining efficient office operations.

Lead Follow-Up: Assist in managing and following up on leads generated through various channels.
Communicate with potential clients to understand their needs and provide relevant information.
Collaborate with the Broker In Charge to convert leads into successful property management contracts.

Communication: Serve as the main point of contact for client inquiries on the phone and email, providing timely and accurate information.
Communicate effectively with internal teams to relay client feedback and ensure smooth collaboration.

Documentation: Maintain accurate and detailed records of client interactions, feedback, and resolutions.

Team Assistance: Collaborate with team members to address inquiries and resolve issues.
Provide support to the property management team and other team members as required.

Qualifications:

  • Previous experience in real estate or property management is an asset.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to prioritize tasks and manage time efficiently.
  • Adaptability and willingness to learn new processes and systems.

Requirements:

  • High school diploma or equivalent.
  • Valid driver's license and reliable transportation.
  • Flexibility to adapt to changing priorities and responsibilities.
  • Ability to work collaboratively within a team environment.
