Job Description

Position Title:  Concierge Effective Date:

Facility: HealthBridge of Arlington Heights Shift: Days and Evenings

Reports to: Administrator Status: Hourly

Purpose of your job position:

The purpose of the Concierge position is to present a professional and friendly first impression to all external and internal customers who present to the reception area of HealthBridge of Arlington Heights whether in person or via the telephone. The Concierge will greet all visitors professionally and politely. Incoming calls will be answered and routed professionally and politely by the Receptionist using a multi-line phone system. In addition, the Concierge will be assigned several administrative and clerical tasks, including, for example, keeping the Concierge Log and generating Microsoft Word / Excel documents. The Concierget reports to the Administrator

Essential Job Skills:

Excellent communication skills, both verbal and listening, on the telephone and in person are essential to this position. You must have the ability to work with a variety of individuals in a professional and friendly manner. You must have a customer-focused attitude. At times the lobby is fast paced, and you must possess the ability to work effectively in this environment where it is essential to multi-task.

Job Requirements:

  • High school diploma
  • Ability to type 40 wpm
  • Proficient computer skills, MS Word, Outlook, and Excel.
  • Pleasant phone voice and able to speak English using good grammar
  • Customer service experience

Essential Job Duties, Responsibilities, and Functions

I. Reception Area Functions:

  • Greet all external and internal customers in a professional and polite manner
  • Complete all CE Solution Modules
  • Make sure all Visitors, Volunteers, Pharmacy, and Private Duty Personnel Sign In
  • Direct external customers to meeting rooms and offer refreshments
  • Answer the telephone in a professional and polite manner. Determine the nature of call and direct the caller to appropriate individual or department
  • Post outbound mail and have ready for pick-up, overnight or express mail
  • Receive incoming courier shipments, from FedEx, DHL, etc., and promptly notify staff of deliveries so they can meet them at the receiving entrance.
  • Follow all instructions as related to the Building’s security system, including e.g. alarm and video monitors. Report suspicious persons/information to the Business Office Manager or a member of the Management Team immediately.
  • Ensure a clean and inviting atmosphere in the reception area

II.

  • Answer phones, monitor and screen calls
  • Monitor visitors & Give out visitor badges
  • Accept packages, maintain tracking log
  • Notify Departments / Monitor packages
  • Monitor Front Lobby Traffic
  • Input Resident Information into PointClickCare
  • Print Face sheets for New/Re-Admissions
  • Keep Lobby tidy and Reception desk uncluttered as well as Welcome Center
  • Monitor refreshments
  • Print out Doctor Resident Lists upon request
  • Keep Extension List updated
  • Communicate via Receptionist Log/ Email
  • Email Shift Report at end of every shift
  • Keep Extension List updated
  • Evening Announcement that visiting hours are over (8:00 pm)
  • Email Shift Report at end of every shift
  • Monitor the Ins/Outs of Residents
  • Assist with closing out medical record charts
  • Midnight Census

Equipment Utilized

  • Multi-line phone system
  • Computer: Microsoft Office, Outlook, PointClickCare, Ipad, CE Solutions, Excel
  • Over phone paging system

Other Responsibilities

  • Assists Business Office, Human Resources, Social Services, Admissions, Medical Records, MDS, Maintenance, etc. by completing special projects.

These projects may entail assembly of packets, manuals, folders and files.

Safety and Sanitation

  • Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately.

Safety Factors:

  • Follow all established safety procedures and precautions involving
  • Safety regulations, fire alarm and protection, smoking regulations, equipment.
  • Report equipment malfunctions or breakdowns to your supervisor as soon as possible.
  • Follow and ensure that all receptionists follow established ergonomics procedures governing lifting, repetitive tasks, and use of equipment and supplies to prevent work related injuries or illnesses.

This is a Category III position. However, the position requires sitting for long periods of time, about 8 hours per day, as well as some repetitive functions, e.g. typing. Must be able to lift up to 8 pounds, e.g. paper, mail, packages. Must be able to stoop, kneel and crouch.

Risk Potential to Blood/Body Fluids:

Category I: Tasks in this category involve exposure to blood, body fluids, or tissues, and require the use of personal protective equipment.

Category II: Tasks in this category involve no exposure to blood, body fluids, and/or tissues, but employment may require performing unplanned category I tasks.

 Category III: These tasks require no exposure to blood, body fluids and/or tissues, and category I tasks are not a condition of employment.
