The CAFM Specialist is responsible for managing, compiling, organizing and updating Environmental Management data using the Computer Automated Facility Management System. Duties include auditing and maintaining Joint Commission required documentation related to the Environment of Care and Life Safety inspections, testing and maintenance activities. Tasks include generating specialized reports, entering data for programs such as FAS, update and maintain the facility driving record using the DRRS system Texas Fleet System and CAFM-10, communicating with and assisting CAFM staff at Central Office and assisting with the training of other CAFM Specialists when needed. Other duties include documenting building floor-plan changes using AutoCAD software, updating building and building status data, documenting building and utility system deficiencies, and organizing the facility biennium capital project requests for submission to HHSC M&C. Performs back up administrative clerical tasks for the Maintenance Department and Environmental Services. Manages store room and supply inventory. Updates utility equipment inventory; Assists Motor Vehicle Tech with documentation and data management associated with vehicle fleet operations. Assists Accounting managers with surplus property sales and documentation. Must be able to work in a fast paced environment, adapt to changes, have good interpersonal skills, be able to perform duties with a minimum of supervision and have excellent telecommunication, clerical, photography and computer skills. Normal work hours are 8:00 a.m. to 5:00 p.m., Monday through Friday with one-hour lunch break and are subject to weekends, holidays and after hour recall when required. Must understand that duties, hours and location of work areas are subject to change as determined by the department to meet the needs of the facility. Employee must be able to perform normal lifting activities associated with the job and may be required to travel on occasion. Employee actively participates and/or serves in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Population Served: Patients, Staff and Visitors Reports to: Plant Maintenance Manager.
Essential Job Functions:
1. Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
2. Entering data into the CAFM system.
3. Update and maintain Driving Records.
4. Radio Communication with maintenance personnel.
5. Train/Assist staff using CAFM system and associated equipment.
6. Other clerical duties.
7. Generate specialized reports upon request.
8. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities:
1. Knowledge of Word, Excel, Access data base and Power point or related computer programs and associated skill preferred.
2. Experience with AutoCAD software and use of complex technical programs preferred.
3. Experience with computer assisted facility management (CAFM) system preferred.
4. Experience with Texas Fleet system software preferred.
5. Experience with capital asset planning (CAPS) software preferred.
6. Familiar with CAFM 9 web based software.
7. Knowledge of business English, spelling, punctuation and math.
8. Knowledge of office practices, departmental rules, regulations, procedures and functions.
9. Skilled in the use of office equipment.
10. Ability to apply knowledge of departmental rules, regulations, procedures to work problems.
11. Must have good interpersonal skills and communications skills.
12. Ability to understand and follow oral and written instructions.
13. Ability to communicate effectively, harmoniously and productively with co-workers, supervisors, patients, and visitors
14. Ability to adapt to changes.
Registration or Licensure Requirements:
Must possess valid Texas driver’s license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
Initial Selection Criteria:
1. Relevant experience regarding use of a computer to manage data.
2. Graduation from a standard senior high school or equivalent.
3. Experience performing administrative clerical tasks.
4. (2) years experience in the field of work related to the duties of the position-preferred.
5. Experience in Word, Excel, CAFM, and AutoCAD as well as related computer skills-preferred.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, and HHS OIG list of Excluded Individuals/Entities. Males between the ages of 18-25 must be registered with the Selective Service.

Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the posted minimum of the salary range.
