JOB TITLE: Executive Assistant
DEPARTMENTS: Administrative
REPORTS TO: HR Manager

SUMMARY

The Executive Assistant will work closely with the leadership team to provide support in various functions throughout the organization all while maintaining a high level of confidentiality and professionalism.

RESPONSIBILITIES

  • Provides high level administrative support and assistance to the CEO and/or other assigned leaders and managers throughout multiple departments
  • Arranges travel accommodations and other company and personal logistics
  • Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries
  • Maintains and manages the operations team calendar
  • Assists in the planning and execution of meetings and events
  • Serves as liaison between leadership, managers and visitors as required, reviews, requests, and schedules appointments and meetings
  • Maintains office supplies inventory by checking stock to determine inventory level, anticipating needed supplies and placing/expediting order for supplies
  • Maintaining the current filing and database system and looking for ways to improve current systems
  • Arranges domestic and international travel for all business travel requirements for Hatteras team members and customers
  • Maintains current office furniture, décor, appliances, and electronics to a high standard and updates as required
  • Coordinate with maintenance to keep the office clean and safe and ensure its appliances are in good working order
  • Performs other duties as assigned

REQUIRED EDUCATION/EXPERIENCE

  • High school diploma required; Bachelor’s Degree in Business Administration/related field preferred
  • Minimum of five years of administrative support including at least three years of executive support experience preferred
  • Strong organization skills with ability to prioritize in a dynamic environment
  • Excellent interpersonal skills with the ability to maintain highly confidential information.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Must be able to multi-task effectively
  • Strong verbal and written communication skills required
