Basic Qualifications

  • Ability to stay organized while managing multiple projects, react to changing priorities or ambiguity, and work independently to complete project tasks on time in a fast-paced environment. Handles sensitive information with confidentiality and discretion.
  • Strong Computer and web-based skills, including proficiency with Microsoft Excel, Word, PowerPoint, SharePoint, and Outlook. Experience with Adobe Acrobat, survey software (Qualtrics, Google or Microsoft Forms), hybrid meeting technology (Zoom, Webex, or Microsoft Teams), calendar management tools, internal chat (Teams, Slack), and project management software (Asana, SmartSheets, Jira) strongly desired.
  • Strong communication and presentation skills, including drafting and/or editing written and visual content for internal communications memos, presentations, and project-related web content. Attention to detail and the ability to tailor to an audience is essential.
  • Keen interpersonal skills that facilitate the ability to work collaboratively and appropriately with a wide network of stakeholders with different organizational impact, opinions, levels of technical expertise, objectives, and backgrounds.
  • Basic data analytics skills (sorting, filtering, and deduplicating datasets, creating and analyzing pivot tables, and developing charts) in Excel strongly desired.
  • Familiarity with hosting hybrid meetings, including coordinating in-room technology with web-meeting tools to ensure a successful outcome for participants.
Additional Information
We anticipate the salary for this position to be in the range of $85-90K, depending on the experience level of the selected candidate.

Position Description
Reporting to the Director of Project and Change Management, the Project Manager will drive the activities, initiatives, and goals of the Administrative Operations Project Management team through the timely management of project deliverables and assignments with minimal supervision. This role will be expected to develop project plans, convene project core team meetings, drive project deliverables forward, and proactively communicate project status updates to FAS leadership. This role will require independently prioritizing work on multiple projects with competing deadlines and developing novel solutions to tailor project outcomes to the unique needs of specific departments/units. As such, the Project Manager will be responsible for understanding the impact of FAS stakeholder goals and applying this knowledge with a high degree of discretion to achieve the successful completion of projects while maintaining positive working relationships with a variety of FAS stakeholders.
The Project Manager will:
  • Provide support for new projects from concept to implementation, including defining requirements, developing and refining project plans and timelines, assigning resources, and reporting project progress in various forums. Project assignments may range from independent ownership of a small or medium-sized project or assignment of a workstream(s) in a large project
  • Execute on programmatic decisions that require problem-solving, anticipation of project or stakeholder needs, and big-picture thinking. Continuously and independently reprioritize assignments and tasks based on deadlines.
  • Address project action items with assignees to track project progress, acting with the authority to hold stakeholders responsible, often while exercising indirect leadership on a matrixed project team
  • - Develops for stakeholder communications, such as email memos, meeting agendas and presentations, change management documentation, just-in-time announcements, post-meeting project summaries
  • Facilitate and plan content of project meetings, including scheduling, running of hybrid meeting technology (zoom, in-room AV), preparing meeting materials, and distributing notes
  • Organizes, maintains, and distributes project and team documentation, including charters, policies, handbooks, and onboarding materials in SharePoint
  • Review large data sets to analyze data and create user, scope, or impact assessments for project planning purposes
  • Use Excel skills such as developing project matrixes (ex: Stakeholder index, RACI charts); sorting, filtering, and deduplicating project data; creating pivot tables; designing charts; and writing basic formulas to provide insights related to project deliverables
  • Regularly review and update project management tool tasks and dashboards, assigning or closing tasks as required and actively prioritizing the portfolio backlog
  • Support our team of project managers and FAS leadership with special projects or other duties as assigned in our matrixed working environment.

Job Summary
The Faculty of Arts and Sciences (FAS) Administrative Operations Project Management (PM) team within the Administration & Finance Dean's Office is responsible for managing the portfolio of projects that drive the strategic priorities of the FAS. The FAS PM team is responsible for implementing initiatives for FAS-wide projects, including but not limited to IT systems implementations, strategic business initiatives, policy rollouts, and business process changes. Our team engages with FAS administrative community and liaises with Harvard Central Administration, Information Technology, and other University leadership.

Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). About Us
The Administrative Operations team (Admin Ops) is responsible for project and change management, roll out, and steady-state trainings on University and tub-specific administrative systems, departmental support, procurement, and card services for the 150 departments in FAS. In addition, we serve as a conduit between FAS and University offices: A/P, Office of the Controller, Financial Policy Office, Strategic Procurement, RMAS, International Payee Tax Compliance (formerly NRA Tax Office), Reimbursement and Card Services, and Supplier Onboarding.
