The Part-time Reservation Coordinator will assist in performing administration duties, including but not limited to; reservations, website back end, record keeping, reporting, purchasing, and budgets.
Duties and Responsibilities:
Community center and parks reservation assistance within Civic Rec
Upholding the back end of Civic Rec System
Creating facilities and locations within Harris County Precinct 2
Inputting and viewing reservations and events on the Facility Calendars
Approving and Declining reservations request
Updating locations to the required managers overseeing the parks and the community centers
Input closings for facilities if there is a holiday, precinct, or another matters within Harris County Precinct 2
“Facility Closings” are found under the Facilities tab within Civic Rec
Creating reports of daily civic rec data, creating deposits, metal detector and ball field permits
Upholding the back end of Civic Engage for the Parks and Trails Department, (updating the content for the website for the park rules, forms, and department information).
Working with concessionaire leagues and inputting their league calendars into the civic rec system, reviewing required documents for concessionaires.
Assist in Setting up vendors, created Purchase Orders, and paid multiple vendor invoices per month.
Assists vendors with invoicing/purchasing issues.
Monitors the status of outstanding purchase orders in order to un-encumber funds at the end of the fiscal year.
Communicates with vendors regarding outstanding invoices.
Serves as liaison to vendors and department staff, established purchase orders.
Collaborates with Procurement in defining terms of purchase orders, contracts & payments for project deliverables.

High school diploma or G.E.D. equivalent is required.
Knowledge, Skills, and Abilities
Proficient working knowledge of computers, office equipment and related software comprised of Microsoft Word, Excel, Access, and Outlook
Must have strong written and verbal communication skills
Must be able to multi-task and adapt in a rapidly changing environment

Position Type and Typical Hours of Work:
Part Time position.
Monday – Friday | 9:00a.m. to 3:00p.m.
Hours may vary based on business needs of the department and some weekend, evening hours or holidays may be required during special events.
Work Environment:
This job operates in a clerical, office setting.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Noise level in the work environment is usually average.
Physical Demands:
This is a large sedentary role; however, some filing is required.
This would require the ability to lift files up to 50 lbs., open filling cabinets and bend or stand as necessary.
