Guayaki Yerba Mate is Hiring an Office Coordinator Near Los Angeles, CA

Purpose of this Job

The Venice Operations Coordinator will assist in the daily operations of the Guayaki Venice office and will be the primary point of contact for all LA employees and visitors. This person will be the "face" of Guayaki and act as a host, inviting all office visitors to COME TO LIFE! This role will interact with many layers of the organization and is an integral part of overall operations. The ideal candidate will be a Guayaki consumer and fully embody our brand. They should have stellar communication skills and a zest for life.

Key Responsibilities

  • Serve as "Office Host" by greeting guests and creating a welcoming and positive environment for all
  • Coordinate closely with manager to ensure the office is fully operational and processes are running efficiently. This includes:
    • Maintaining a safe and organized office
    • Re-stocking the kitchen and conference rooms on a regular basis
    • Overseeing conference room scheduling during peak meeting days
    • Tracking office inventory levels and flagging low levels to manager
    • Assisting with small and large meeting logistics
    • Providing parking validation to visitors and recording ticket usage
    • Ad hoc administrative tasks (e-mail correspondence, printing / copying, receiving deliveries, etc.)
  • Complete other related duties and special projects as assigned
  • Workplace Type: Hybrid - minimum 3 days in office per week, occasionally 4 or 5 days in the office as directed by Manager

Minimum Experience and Qualifications

  • 1-2 years of office operations or customer service experience
  • Demonstrated ability to work independently, efficiently, and exercise good business judgement
  • Strong organizational and prioritizing skills and adaptability to changing priorities
  • Ability to engage with people at all levels of the organization and communicate clearly
  • Proactive and self-motivated, collaborative with a strong focus on delivering quality results
  • Ability to plan, multi-task and manage time effectively
  • Strong writing and record keeping
  • Proficient in MS Office and excel

Physical Requirements

  • Employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear
  • Employee frequently is required to walk and sit
  • Employee is frequently required to carry boxes up to 30 lbs
  • Employee is occasionally required to stand and stoop, kneel, crouch, or crawl
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus
