Group O is looking for a Client Services Representative to join our team. The Client Services Representative is responsible for setting up orders, providing order status updates and monitoring order completion.

Responsibilities

Primary Tasks:

• Maintaining client information in Enterprise Resource Planning (ERP) system
• Setting up orders
  • Receiving client orders by client systems, EDI, email, phone, fax or other means
  • Generating sales orders, purchase order (drop-ship), return orders
  • Sending orders to Operations and suppliers (drop-ship)
  • Sending order acknowledgments
  • Managing supplier order confirmations
  • Communicating with production team on upcoming orders
• Managing order completion
  • Receiving and distributing order status updates
  • Communicating order status directly to client
  • Logging order status updates in client systems

Secondary Tasks:

• Gathering, reviewing and filing proof of deliveries, packing slips or other shipping files
• Performing expediting tasks:
  • Monitoring orders at risk for missing deadlines
    • Monitoring supplier orders that have missed deadlines
    • Identifying and communicating at-risk and late deliveries
    • Tracking shipments
  • Monitoring status of expedited orders
    • Monitoring orders with Operations or suppliers (drop-ship)
    • Tracking shipments
    • Communicating expedited order statuses
• Coordinating sales for parts and service (Parts & Service CSR’s only)
  • Gathering requirements and recommend purchases
  • Set up new items in ERP for parts
  • Request supplier pricing
  • Providing quotes to customers
  • Receiving orders for equipment and parts and relaying them to operations
  • Enter sales/purchase credits when needed
• Managing service schedules (Parts & Service CSR’s only)
  • Generate service orders for sales audits
  • Coordinating appointments with customers and field service technicians
  • Researching service expenses and requirements for quoting
  • Gathering billing information
• Maintaining a safe, clean and orderly work area
• Other duties as assigned

Qualifications

Education:

• High school diploma or equivalent (Associate’s or bachelor’s degree preferred)

Skills:

• Flexibility in daily hours worked based on workloads
• Ability to sit for an extended period of time

Experience:

• 2 years related experience (in lieu of degree)
• Data entry computer experience
