ABOUT GREENPEACE:

POSITION SUMMARY:

The Facilities Coordinator will join Greenpeace USA’s Administrative Team, contributing to the culture and environment of our Washington, D.C. office, often as an initial point-of-contact for visitors, staff and vendors entering and working in the space. The Facilities Coordinator will help guide the day-to-day operations, administrative support, and facilities maintenance, responding to continuing staff and visitor needs and requests, assisting in the planning and coordination of meetings and events, and upholding the communications and systems necessary to support the functionality, efficiency and continuity of the office as a welcoming and productive space for our work teams and visitors.

The Facilities Coordinator role is a full-time, exempt, benefits-eligible role based in Washington, DC, and will report to the DC Facilities Director. 

The Facilities Specialist will be responsible for the following:

Office Functionality:

  • Assist visitors and staff by greeting, welcoming, directing and escorting them appropriately
  • Provide access to the office, when needed, and notify staff of visitor arrival
  • Maintain security and telecommunications system, following procedures
  • Inform visitors, staff and vendors by answering or referring inquiries
  • Help cultivate and provide a safe, clean and productive reception and office environment
  • Ensure storage area is organized and with an up-to-date inventory
  • Regularly walk through and maintain common areas, including the two kitchens
  • Oversee regular and special cleaning services and perform basic maintenance needs
  • Assist Facilities Director with internal office moves

Meeting Preparation: 

  • Support in the preparation and coordination of Greenpeace events and meetings
  • Prepare and break-down meeting rooms for all staff-requested meetings, including equipment, food and beverage services

New Employee Duties: 

  • Set up work areas for new employees
  • Monitor and maintain the hoteling desks
  • Introduce new staff to organizational facilities policies including security procedures and all other office equipment

Mail Room: 

  •  Responsible for the daily posting of all outgoing mail
  •  Distribute all incoming mail, packages and large shipping deliveries daily
  •  Work with other departments to prepare, produce and send large mailing and copying projects

Office Supplies and Equipment: 

  • Place service calls on copiers and other office equipment
  • Order and track usage of office supplies
  • Keep all printers and copiers supplied with paper and ink
  • Perform daily maintenance of the coffee machine and water fountains

Other: 

  • Book reservations of the organization’s DC apartment for out-of-town staff
  • Respond to staff facilities requests and tickets in a prompt and pleasant manner
  • Coordinate/oversee maintenance services 
  • Maintain documentation, filing system and Google docs. for the facilities department
  • Coordinate off-site storage, including regular deliveries to and retrieval from storage facilities
  • Prepare invoices for Facilities Director’s approval
  • Other duties as assigned by the Facilities Director

Minimum requirements for the Facilities Coordinator include:

  • High School Diploma or equivalent
  • 1 year experience working in an office environment
  • Experience in a mailroom or administrative assistant position
  • Proven ability to manage multiple tasks
  • Must be able to lift 20 lbs
