Summary

The Payroll Supervisor will be responsible for managing the integrity of data within the payroll system by ensuring necessary processes and procedures are in place; ensure the accuracy of records and guarantee periodic disbursement of multi-state and multi-company payroll, including garnishments, benefits, and taxing employees consistent with federal, state, and local wage and hour laws. The ideal team member takes ownership of all aspects of the payroll function and works well with the team to lead and manage the function in a start-up environment where priorities constantly shift.

Key Responsibilities

  • Process payroll for 500 employees including out of state employees and a large population of hourly, nonexempt employees
  • Manage multi-state payroll compensation and tax compliance
  • Drive key payroll related projects as we build for scale. Be the payroll liaison for larger cross-functional initiatives impacting payroll, including a new payroll systems implementation
  • Prepare monthly, quarterly, and annual reporting as required
  • Register and open payroll tax accounts for new entities or taxing jurisdictions, including federal, state, and counties as needed
  • Reconcile and review the accuracy of year-end W2 forms, salaries, benefits, garnishments, retirement programs, taxes, and deductions; issue e-checks as needed
  • Document policies and procedures for the payroll function, and deal effectively with ambiguous and unstructured problems and situations
  • Continuously drive improvements, automation, communication, and education to increase quality, improve employee experience, and enable rapid scaling
  • Facilitate audits and provide records and documentation to auditors and CPA firms
  • Successfully collaborate cross-functionally with HR and finance to both implement new processes and improve on existing processes
  • Research and stay up to date on new payroll tax legislation, identify the reporting requirements, options and applicable risks
  • Manage all payroll related journal entries and reconciliations during the company’s month-end close process
  • Communicate with employees regarding payroll inquiries, in a professional and courteous manner while maintaining strict confidentiality of all information
  • Develop and maintain pay policies, payroll calendars, payroll checklists, process maps and other procedural documentation
  • Perform other duties as assigned

Qualifications and Experience

  • Bachelor’s degree in finance, accounting, or related field
  • Deep knowledge of the full life cycle of payroll processing; ability to maintain the highest levels of confidentiality
  • Demonstrated knowledge of payroll legislation, regulations, and payroll taxes
  • Working knowledge of payroll accounting and the related debits and credit entries
  • Extensive knowledge of payroll systems and HRIS
  • Ability to work independently in a highly organized manner
  • Ability to listen well and communicate effectively, orally and in writing with various audiences
  • Ability to create and maintain positive and collaborative team environment
  • Ability to work on several tasks/projects simultaneously, prioritize, and follow through to successful outcomes
  • Proficiency with Microsoft Office and Google Suite, with strong excel proficiency
  • Excellent organizational skills and ability to successfully navigate in an ambiguous environment
  • Travel may be required
  • 21 years of age
