Presently we're looking for an energetic, self-starting Personal Assistant to the owner of multiple companies that can handle a fast-paced work environment with professionalism and a standard of excellence. The ideal candidate will be self-sufficient, organized, and always goes above and beyond. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of the owner. You may also be required to make travel arrangements and assist with other duties when required. The ideal candidate must have great time management skills to properly prioritize the many tasks assigned by their employer and to ensure they complete these work items by their respective deadlines.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Intuitive to the needs of the owner and work autonomously to provide customized administrative support to his two business companies
· Schedule & coordinate meetings, appointments & daily projects
· Administrative support to include (but not limited to), organizing filing systems, maintaining records, fielding inbound calls, receiving visitors, data entry, etc.
· Set, monitor & notate meeting agendas, plus discern and pursue relevant initiatives thereafter.
· Maintains multiple tasks, deadlines, and priorities calmly with efficiency and grace.
· Performs other assignments on an as needed basis.
· Light housekeeping in the office
· Running misc. errands
· Picking up/mailing items
· Office inventory shopping and replenishment of supplies
· Calendar and email management
· Schedule travel and planning events
· Proven ability to manage a flexible schedule with exemplary planning & time management skills
QUALIFICATIONS:
· Computer Skills: proficient in MS Word, MS Excel. Strong research skills.
· Maintains a high level of integrity, respect, confidentiality, and trustworthiness.
· Attention to detail is a must.
· Outstanding customer service skills.
· Consistent punctuality, reliability, friendliness, and professionalism even while under pressure.
· Ability to handle multiple requests and inquiries in a professional, friendly, and upbeat manner.
· Excellent time management and prioritization skills.
· Positive and self-motivated.
· Ability to prioritize and multi-task effectively in a fast-paced environment.
· Excellent communication skills - interpersonal, written, verbal.
· Excellent spelling, grammar, and proofreading skills.
· Flexible team player - willing to learn new tasks
· Must be a problem solver and address issues in a timely manner
· High school diploma or GED.
· 1-2 years of experience as a personal assistant would be advantageous.
· Working knowledge of printers, copiers, scanners, and fax machines.
