SHIPPING & RECEIVING COORDINATOR

Reports to: HR & Admin Manager 

Type: Full Time – Non-Exempt, Hourly

We're seeking a coordinator to own the Shipping and Receiving function for our 100-year old family owned measurement equipment company. This person will be someone who enjoys supporting our laboratory by checking in all sorts of interesting measurement equipment ranging from a set of calipers or a torque wrench to a set of 50lb weights. This person will manage the logistical journey of that item through our lab, and after it is calibrated or repaired by our skilled technicians, they will ensure the item is securely packed, all documentation is accounted for, and manage the safe return of the item based on our customers requirements.

CRITICAL FUNCTIONS

• Manage all customer interactions during pick-up and drop-off of equipment at Grand Rapids headquarters 
• General receiving of UPS and FedEx 
• Laboratory receiving and input into systems 
• Deliveries to local customers on occasion 
• Shipping out of completed product and other general shipping requirements 

WHAT YOU’LL DO

Shipping and Receiving:

• Serve as main point of contact for all shipping and receiving functions and provide excellent customer service to internal and external customers
  • Greet and provide assistance with all customer pick-up/drop off’s at GRM headquarters
  • Answer any customer questions related to shipping/receiving
  • Serve internal customers by providing prompt assistance and reliable logistics information to all departments
• Inspect and receive all new and customer owned equipment by logging data into computer system and notifying appropriate team members
  • Note any damages or discrepancies in recordkeeping system
  • Stage according to designated department/location
• Facilitate equipment flow through GR headquarters by distributing to appropriate departments
  • For customer equipment that has been completed in-house, after notification, pick up and prepare equipment for outgoing shipment
• Pack all outgoing shipment securely to minimize potential damages
  • Maintain inventory for packing as well as keeping the shop clean and orderly
• Prepare transportation bills, packaging slips, and any other necessary documentation required for shipments; contacts various shipping partners to coordinate pickups as needed
  • Record all shipment data, such as weight, sizes, charges, etc. for recordkeeping purposes
• Prepare for daily pick-up/drop-off times via UPS and work to coordinate daily shipping/receiving workflow around these to optimize shipping times

Deliveries:

• Organize and load equipment into GRM delivery vehicle for efficient pick-ups and deliveries along route
• Deliver equipment per customer requirements, obtaining signatures and completing all paperwork
• Pick up equipment from customers, completing all paperwork and returning equipment to shop
• Maintain cleanliness of vehicle, report maintenance problems, and follow all state and local traffic laws and regulations while completing deliveries

Support of Technicians and Other Office Functions:

• Answer phones and general customer support
• Assist technicians with questions related to inventory, parts, and other logistics issues
• Complete inventory validation / cycle counts as needed
• Work outstanding purchase order reports
• Other tasks and projects as assigned

REQUIREMENTS

• High School Diploma or GED required
• Valid Driver’s License and satisfactory driving record
• You must be extremely comfortable with technology and software. Top notch computer skills are a MUST for this role. If you are not confident in your ability to learn new systems, you will not be a fit for this role
• Ability to lift, push, and pull up to 50lbs independently and repetitively throughout the day
• Ability/certification to operate a forklift or willing to learn and obtain certification
• Excellent written and verbal communication skills
• Top notch computer skills especially with Microsoft Suite
