JOB TITLE:

GM Administrative Assistant

DEPARTMENT:

REPORTS TO:

General Manager

CLASSIFICATION: SCOGC GL

FSLA STATUS: Non-exempt

PAY LEVEL: Hourly

CLOSING DATE:

LOCATION: Grand Lake Casino

EDUCATION: High school diploma or G.E.D. required. An associate degree or higher preferred.

EXPERIENCE: 2 years of Administrative Assistant, Secretarial and/or Customer Service required. Previous casino exp. Preferred.

LICENSES OR CERTIFICATIONS: Required to obtain and maintain a Seneca Cayuga tribal gaming license; State issued driver’s license.

PHYSICAL REQUIREMENTS: Position requires sitting at a desk for entire shifts, up to 35 hours per week; ability to twist, stoop, bend, use extensive and repetitive hand movements; lift 35 lbs. regularly

WORK ENVIRONMENT: Grand Lake Casino is a drug and alcohol-free workplace; Must be able to work in a casino environment which includes high levels of smoke, dust and noise

JOB SUMMARY: Performs administrative support functions such as preparing reports, drafting correspondence, scheduling meetings, organizing and maintaining paper and electronic files, or providing information to callers.

SPECIAL WORKING CONDITIONS:

ESSENTIAL FUNCTIONS:

  • Manage General Manager’s calendars and set up meetings prioritizing important matters.
  • Keeps General Manager apprised of scheduled meetings, events/activities, including support materials.
  • Make travel and accommodation arrangements.
  • Screen and direct phone calls and distribute correspondence.
  • Organizes and maintains incoming/outgoing administrative mail, forwarding, handling and filing appropriately.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, maintain company SharePoint, and agenda material.
  • Take meeting notes and provide minutes, as needed.
  • Interact with customers when appropriate and problem solve. Document complaints and develop an appropriate course of action. Report problems to Directors when they cannot be resolved for attention.
  • Maintains confidence and protects operations by keeping information confidential.
  • Completes projects and special assignments by understanding objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
  • Enhances company reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments and working with others across the organization.
  • Promote internal guest standards by treating employees with courtesy and respect through a positive attitude.
  • Other duties as assigned including supporting other departments or Directors as needed.
  • Graphic design or other advanced computer skills a plus.
