JOB PURPOSE The primary focus of this position is to provide support for the Benefits and Human Resource Information Systems (HRIS) Departments. This individual will serve as an initial point-of-contact for assigned functional areas and assist employees, HR Managers, and line managers with issues related to Benefits and HR systems. The role will be responsible for processing benefit invoices, reconciliations, reviews, and audits. In addition, they will assist the subject matter experts with ensuring data integrity, data maintenance, testing of system changes, maintaining system tables, creating basic reports, and supporting HRIS upgrades. ESSENTIAL DUTIES Benefits – 75% First tier for employee questions and inquiries for benefits and HRIS phone line and benefits email. Take responsibility and ensure appropriate action and follow-up are taken. Process and coordinate payment of benefit vendor invoices. Document and maintain administrative procedures for assigned benefit processes. Evaluate and revise internal processes to increase efficiency. Handle all employee welfare activities including floral and new baby recognition requests. Assist in the review and distribution of benefits communication and education materials to enhance employee understanding and appreciation of benefit offerings. Complete benefit surveys. Responsible for compliance and legal activities (e.g., 5500s, PCORI fee, ACA reporting, etc). Ensure administration of plans complies with regulatory requirements, including HIPAA, COBRA, ERISA, and Tax Code. Attend monthly new hire orientation as a Benefits representative and answer employee questions. Manage voluntary benefits and health support programs. Pursue opportunities to become a subject matter expert by attaining full knowledge of benefit plans, programs, and processes. Perform other duties and responsibilities as requested including special projects. HRIS – 25% Process daily HRIS audits. Monitor and approve the daily workflow of HR related information in Workday. Monitor the HRIS ticketing system (Zendesk) for inquiries and assign tickets to appropriate HRIS support personnel. Serve as first level support to internal customers relating to issues with benefits and HRIS systems (specifically AutoTime, Oracle and Workday). Trouble shoot system issues and resolve in a timely manner. Escalate issues as appropriate. Organize and maintain personnel files. Maintain I-9 Files to ensure compliance. Program Coordinator for the unemployment process (ADP -TALX) and verifications of employment (ADP-The Work Number). POSITION REQUIREMENTS Essential Qualifications: Bachelor’s degree in Human Resources or related field or equivalent combination of education and / or experience. Working knowledge of Microsoft Word, Excel and PowerPoint. Demonstrated ability to keep sensitive information confidential. Exceptional communication and organization skills with a commitment to accuracy and detail. Solutions-orientated with an ability to manage multiple tasks and deadlines simultaneously. Desirable Qualifications: Demonstrates basic Benefits and HRIS knowledge, including employee benefits practices (ERISA, Health & Welfare, and Retirement benefit plans, processes, and administration, including financial analysis and budgeting).
