Summary/Objective
This position is responsible for providing administrative support to the C-Level Senior Executive Group with a high standard of excellence.
Essential Functions

  • Provide administrative duties in support of the Senior Executive Group (SEG- Chief Operating Officer, Chief Financial Officer, Chief People Officer, Chief Mission Officer) including:
  • Maintaining appointment schedules
  • Providing coordination, communication, preparation and execution of meetings and group meetings (in person, Microsoft Teams, Zoom)
  • Maintaining records, file organization and security / overall safeguarding of corporate records
  • Answering, distributing and prioritizing calls, mail and emails as needed
  • Support supplies, purchases and prepare timely submissions of expense reimbursement forms
  • Type, edit, proofread, duplicate, collate, mail and email correspondence and information for the SEG
  • Proofreading and distribution support for internal and external general distribution documents
  • Completing corporate documentation submittals as needed
  • Assisting with the coordination of travel and lodging as required
  • Special projects as needed
  • Organize digital information and archives for greater ease of reference by departments (Sharepoint, OneDrive).
  • Assist with maintaining timely agency reporting, schedules and submissions.
  • Take notes and create meeting minutes for key meetings or special projects, distributing copies and supporting follow up with review and approval from SEG.
\• Provide backup administrative support for the CEO’s Executive Administrative Assistant in coordination, preparation and execution of Board meetings, board member orientation and other duties.
  • Coordinate logistics/refreshments for meetings, board meetings and offsite events.
  • Establish and maintain status as Notary Public.
  • Maintain strict confidentiality of agency staff, financial and personnel matters.
  • Promote the mission and image of Goodwill as a professional, competent organization through professional conduct when interacting with internal and external customers.
  • Other duties assigned. Work Environment This job operates in a professional office environment and routinely uses standard office equipment.
Physical Demand
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee must have the ability to communicate verbally and apply active listening skills, lift a maximum of 25 pounds, bend and stand as necessary.
Position Type/Expected Hours of Work/Travel
This is a full-time position. Office hours are generally Monday-Friday, 8:00 a.m. to 5:00 p.m. Flexibility of the schedule is necessary due to the nature of the position; occasional night-time or weekend work may be required. Minimal travel may be required within the MoKan region.
Qualifications
The Executive Administrative Assistant will be a proven performer with the following:
  • Associate degree minimum, Bachelor’s Degree, Nonprofit Management or other relevant certification of expertise preferred. A combination of education and appropriate experience will be considered.
  • Minimum of five (5) years in administrative support, executive-level support preferred
  • Strong computer skills in the use of the Microsoft Office suite—proficient level in Word, Excel and Outlook
  • Sharepoint experience preferred
  • Proficient in scheduling and operating video conference tools (Microsoft Teams, Zoom)
  • Strong typing skills; minimum typing speed of 50 WPM preferred
• Ability to maintain and/or establish status as Notary Public • Ability to maintain confidentiality
  • Demonstrated effective, professional communications and strong customer service skills with co-workers, staff, leadership, board, customers and guests
  • Demonstrated ability to prioritize tasks, multi-task, and manage time, meet deadlines and ask for help as needed
