Global Marketing Group is Hiring a Procurement Specialist Near Philadelphia, PA

The Procurement Specialist will support all procurement processes and implementations. This position will coordinate the purchasing process and will sustain vendor relationships while maintaining compliance with a variety of business and marketing related policies and procedures. The Procurement Specialist is responsible for coordinating smooth acquisitions, managing necessary approvals through the RINGI process, and maintaining accurate process documentation. This position will work in a cross-functional manner interacting with PPM, SLT, Brand COE, Launch, Martech, Finance, and Legal.

This is a role that requires the ability to understand and quickly learn numerous different types of processes, some that may be complex and technical. This position also requires the ability to successfully operate and navigate in ambiguous situations by providing clarity and direction. This position will work closely with all teams but will be a part of the Program & Partner Management (PPM) team and report directly to the Associate Director of PPM.

Responsibilities

  • Initiate and facilitate the procurement process; collaborate cross-functionally to create thorough and accurate RFIs, RFQs, and RFPs.
  • Develop and maintain vendor relationships by serving as a main point of contact; coordinate onboarding, analyze performance, and facilitate feedback.
  • Track pending purchases, purchase orders, warranties, and contract renewals. Initiate projects for renewals as needed.
  • Implement, maintain, and ensure GMG-wide compliance management and risk programs.
  • Evaluate vendors, proposals, SOWs, and contracts for accuracy and escalate risk-related concerns.
  • Communicate and train employees on written policies and procedures across the organization.
  • Continuously monitor and document new processes, policies, templates, and operating procedures. Incorporate internal changes affecting business and marketing processes.
  • Maintain and optimize existing processes, policies, templates, and documentation.
  • Assess process, compliance, or operational risks and develop risk management strategies under the guidance of management and experts.
  • Proactively recommend process improvement opportunities to create resource time efficiencies for the GMG cross-functional teams in support of standard compliance to GMG’s policies. 
  • Create reporting channels for compliance concerns, present findings and offer solutions in a timely manner.
  • Leverage Workfront for process management, automation, approvals, and tracking of work.
  • Assist Associate Director of PPM in Program, Project, or Workfront, or other GMG activities and provide additional GMG support as needed.

Requirements

  • 5 years of work experience in a corporate environment.
  • Bachelor’s degree in business, marketing, or affiliated field of study (i.e., business intelligence).
  • Energetic and enthusiastic, passionate about process, knowledgeable of procurement and acquisition procedures.
  • Strong written and verbal communication skills.
  • Excellent people skills and cultural awareness; ability to work well with different personalities and interact with stakeholders while obtaining the required information.
  • Experience in Microsoft suite (Excel, Outlook, PowerPoint, Word).

Preferred Qualifications

  • Strong experience in process mapping and design software (Visio, Lucidchart, or other similar).
  • Experience procuring, designing, implementing, or using a Work/Project Management system (Workfront preferred) or Learning Management System.
  • Understanding of corporate and business-related guidelines, understanding of Marketing, IT, and security.
  • Certifications: ISO, Six Sigma, Operational Design, Process Design, Teaching.
  • Knowledge of compliance standards and regulations in topics including, but not limited to, data privacy, financial compliance, and brand compliance.

Other Requirements

  • This position requires 10-20% domestic and/or international travel for business purposes (*company travel policies, rules, and restrictions will apply). The frequency of travel will depend on business requirements.
  • This position requires the ability to drive for business purposes. Possession of a valid state driver’s license and a valid passport are required.
  • Late-night meetings and flexible work schedules are a must due to global meetings
  • Due to the COVID-19 pandemic, must be able to work remotely and productively in a remote office environment.
  • Must be able to come into the Philadelphia office.
