Glidewell Dental is Hiring a Fleet Administrator (Monday to Friday 7:30am to 4:00pm) Near Irvine, CA

Essential Functions:

  • Executes policies, goals, and objectives for various fleet administration programs.
  • Administers, maintains, and provides recommendation to enhance fleet programs and policies for audits and maintenance of company vehicles throughout all company facilities, including remote sites.
  • Administers, maintains, and ensure compliance of fleet programs. Provides recommendation for areas of improvement or enhancement.
  • Schedules maintenance and contracting services.
  • Ensures all necessary activities/tasks/measures are taken/executed to maintain program compliance with all applicable federal and state regulations and laws for such programs.
  • Ensures drivers have a suitable DMV record and has the required auto insurance to operate company vehicle(s).
  • Maintains records, prepares reports, and composes correspondence relative to the work:
    • Vehicle maintenance and logs
    • DOT requirement
    • Vehicle(s) registration
    • Accident logs
    • Schedule fleet cleaning
    • Mileage logs
    • Fleet logs
  • Assists in purchase process of new vehicles.
  • Maintains database of maintenance and repair records for company vehicles and heavy motor equipment.
  • Plans and coordinates tasks and activities of company’s auto repair shop.
  • Develops maintenance schedules for motor vehicles and heavy equipment; notifies drivers and operators when maintenance is to be performed.
  • Works with third parties and internal staff to establish and direct the maintenance of an up to date and comprehensive database of fleet vehicles and related metrics.
  • Ensures appropriate matches of vehicle and equipment specifications to operational needs.
  • Creates and maintains a progressive discipline matrix with tangible measurements.
  • Serves as first responder to vehicle(s) and/or employee(s) who have been involved in a fleet-related incident or accident for reporting.
  • Reviews, investigates, and follows up on fleet-related incidents:
    • Complaints against a driver/operator who exhibits unsafe practices.
    • Vehicle/equipment incidents, accidents, and near-misses.
    • Traffic citations.
  • Reviews company fleet and partners with appropriate department manager and Human Resources to determine best course of action.
  • Prepares informative and engaging safety presentations to promote best driving practices.
  • Schedules and conducts annual and periodic driving evaluations, ensuring vehicle/equipment proficiency and identify areas for corrective action.
  • Maintains and stays up to date with vehicle safety, DOT, DMV, and vehicle-related regulations and requirements.
  • Performs other related duties and projects as business needs require at direction of management.

Education and Experience:

  • High school diploma or equivalent.
  • Minimum two (2) years of relevant experience.
  • Previous experience DOT requirement, DMV regulations, vehicle code and safety, required.
  • Previous experience of vehicle maintenance requirement, preferred.
  • Experience working with various types of vehicle including gas, diesel, electric, truck, commercial vehicles, etc., highly preferred.

Special Requirements/Certification:

  • Valid driver’s license and acceptable driving record required.
