Description

 The Proposal Coordinator is responsible for all components of the proposal and manages the proposal process to meet the requirements of the client and internal project team. The Proposal Coordinator should have excellent written and verbal communication skills and solid organizational skills including attention to detail and ability to multitask. This position could be in office, hybrid or remote depending on experience and references. If remote, monthly visits to the office in Nashville would be required. Essential Functions

  • Exercise full responsibility and authority to prepare accurate proposal documents 
  • Manage all aspects of proposal preparation, revision, and submission; customize proposals to meet clients' needs; ensuring all timelines are met
  • Coordinate internal resources and third parties/vendors for the flawless execution of multiple project proposals
  • Assist in the definition of project scope and objectives, involving all relevant internal stakeholders and ensuring technical feasibility
  • Write content 
  • Ensure resource availability and allocation
  • Develop a detailed project plan to monitor and track progress
  • Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques
  • Maintain, enhance, and protect the GHP brand
  • Assist in the creation of client presentations, RFPs, and related business development materials
  • Conduct regular proposal progress status meetings and maintain the proposal schedule
  • Internally track proposal results
  • Develop and maintain proposal generation process, tools, templates, etc. ensuring proposals are in accordance with guidelines; foster company-wide understanding and adherence to the RFP process 
  • Coordinate, facilitate and present reporting to Senior Leadership of proposal generation activities and status

Requirements

  • Proven working experience in proposal writing or similar 
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking skills
  • Strong working knowledge of Microsoft Office
  • Working Knowledge of Adobe Creative Cloud, In Design, Acrobat
  • Bachelor's Degree in appropriate field of study or equivalent work experience
  • Experience with project management software tools like Asana
