Description
The bilingual secretary is responsible for the overall management of administrative and programmatic support needs for the office. Duties will involve greeting visitors, answering incoming phone calls, purchasing office supplies, and taking proper inventory, as well as serve as the main contact for bilingual parents when communicating with them regarding their student’s education and/or concerns from the school. The individual in this role must speak fluent Spanish and English and will provide support to bilingual parents and students to work towards strengthening the family’s connection with our network of schools.
Requirements
Provide administrative, clerical and scheduling support
Answers and screens phone calls and manages email
Schedules and coordinates appointments, meetings, and events, including registration as necessary;
Transcribes drafts, proofreads and revises correspondence, memos, flyers, agendas, minutes, resolutions, and policies;
Assists with project monitoring and budget tracking;
Assists with customer inquiries and problem resolution;
Provide administrative support to leadership
Provides administrative support for the completion of documentation of leadership agenda items;
Provides transcription and dictation of assigned meeting minutes;
Acts as custodian of meeting minutes and resolutions
Provide scheduling and support for Disciplinary Reports and Hearings;
Perform daily administrative office functions for the office:
Greeting and receive visitors, staff, and community partners;
Answer phones;
Sort and distribution of mail;
Handle and properly route information requests received via phone or info@gestaltcs.org mailbox;
Order business cards, stationery, and other print needs;
Ensure the leadership team has adequate mailing and kitchen supplies;
Assists the leadership staff with planning and scheduling of conferences and events;
Assists staff with the creation, process, and closing of POs;
Serve as support for the leadership teams;
Receive prepared checks and prepare for distribution;
Copy, match and scan all distributed checks into the appropriate system;
File all copies and invoices;
Schedules for all travel-related booking and/or coordination:
Serves as the point of contact for the building including but not limited to:
Securing gate access cards for staff;
Coordinating maintenance requests; and,
Coordination of building events.
Other duties as assigned.
