Requirements
Deputy Director of Protocol and Events, Office of Public Affairs - Georgetown University
The Deputy Director of Protocol and Events assists with the creation, development and implementation of events on Georgetown's Main Campus, and provides staff and organizational support to the University's Director of Protocol and Events and the Office of Public Affairs. Assigned responsibilities include assisting in event planning and consultation, assisting in coordinating all aspects of University events, and supervising a student employee.
Reporting directly to the Director of Protocol and Events; working closely with the Office of the President, the Office of Strategic Communications, the Georgetown University Department of Public Safety, Office of Facilities, and Office of Transportation Management, and serving as the primary liaison to Georgetown University Information Services (UIS), the Deputy Director of Protocol and Events has duties that include but are not limited to:
Events Administration and Management
Manages events at the direction of the Director of Protocol and Events - to include event preparation, coordination of facilities, security, traffic flow, invitations, settings and scenery, logistics, parking and transportation, volunteer coordination, coordination with AV and other vendors, and media relations - to ensure that the University's events run uniformly and successfully.
Manages technology-related tasks - for example, broadcast email messages and invitations to University community announcing VIP events, email invitations to VIP events, registration for and emails to the Let Freedom Ring Choir)
Electronically compiles access lists, invitation and RSVP lists for major events
Special Projects
Serves as on-call representative of the Office, responding in a timely and professional manner to inquiries from internal and external constituents.
Provides support for special projects to the Director of Protocol and Events and Vice President Public Affairs.
Qualifications
Bachelor's degree
A working knowledge of event planning and national and international protocol
Consistent reliability, responsibility, and good judgment
Strong oral and written communications skills and excellent interpersonal skills
Ability to work under extreme tight deadlines and considerable pressure
Highly attentive to details
Ability to prioritize effectively and work multiple tasks simultaneously
Ability to assimilate data (especially lists and spreadsheets)
Ability to work successfully as an independent performer and as part of a team
Discrete and respectful of strategic, confidential material
Ability to prioritize tasks and meet deadlines for a wide variety of assignments
Computer knowledge with strong technical expertise in Google platforms and Excel spreadsheet
Willingness and availability to work long and frequently unpredictable hours
Work Mode: Hybrid 3 Days. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.
