Overview:
Duties Specific to Sumner Village:
  • The Front Desk/Office Manager Receives Callers, Determines Nature Of Business, And Directs Callers To Destination
  • Maintains Daily Call Log That Records Name, Time Of Call, Nature Of Business, Person Called Upon, And Notes On Appropriate Action Taken
  • Compiles Lists Of Contractors That Will Be On-Site Daily And Distributes List For The Next Day
  • Signs Keys Out To Residents Who Have Been Locked Out, And/Or Contractors Who Are Approved For In-Unit Work
  • Keeps Key System In Good Order And Ensures At The Close Of Business All Keys Signed Out Have Been Returned
  • Opens, Sorts, And Distributes Mail Daily
  • Responsible For All File Management And Database Upkeep
  • Inputs Work Orders And Gives To Appropriate Parties If Requested
  • Issues Pool Passes (Seasonally), Visitor Parking Passes, And New Resident Parking Stickers
  • Assemble Resale Packages When Asked
  • May Make Appointments For On-Site Maintenance Staff And Answer Inquiries If Asked
  • Keeps Inventory Of Office Supplies And Orders Any Supplies Needed
Responsibilities:
Office Manager Daily Duties
  • Check atrium coffee bar and restock items at the beginning and end of each day.
  • Open mail and distribute to appropriate staff; give General Manager any invoices
  • Answer phone on first ring; transfer calls to respective personnel
  • Enter work orders in BuildingLink as requested by residents
  • Open office supply deliveries from Staples place supplies in respective locations Take weekly inventory of office supplies, also checking with staff for requests, and place orders with Staples Advantage.
  • Insure sufficient stock of paper for printing of newsletters and other large print jobs.
  • Insure that copier has sufficient supply of staples for large print job and knows how to load additional staples.
  • Know the process to edit and print the SV newsletter.
  • Collect closing statements from new owners and provide resident info and registration forms for them to complete. Enter information in BuildingLink and file documents in unit file. Maintain a list of new owners.
  • Issue parking passes as requested by residents and in compliance with association rules.
  • Stay current with all rules, policies, applications, and forms for all three associations.
  • Issue key fobs as requested by residents, informing them that each additional fob is $15 and informing Service Coordinator for billing to residents.
  • Be proficient with HandyTrac system
  • Issuing keys from HandyTrac system for lockouts, maintenance, and as requested by residents.
  • Promptly scanning returned keys and place on hooks indicated by HandyTrac system.
  • Add and remove employee clearance as necessary
  • Contact service providers when equipment service is required:
  • When copier needs service
  • When fitness equipment needs service
  • When IT equipment needs service
  • Contacting Verizon when service needed
  • Be proficient with office phone system to assist with updating extension names, voicemessaging.recordings, etc.
  • Be proficient with process for formatting newsletters and printing.

  • Friendly And Possesses Excellent Customer Service Skills

  • Must Be A Team Player And Take Initiative

  • Ability To Thrive In A Fast-Paced Environment And Be Able To Multi-Task Effectively

Educational Requirements:
  • Must Have High School Diploma
  • Must Possess At Least 1-Year Related Experience
