Coastal Health & Wellness is seeking a Patient Access Specialist!

The right candidate will be responsible for but not limited to financial screening patient to determine discount eligibility, checking in patients, checking out patients, providing Patient Care Plans, scheduling follow up appointments for medical, dental and counseling, answering phone calls, sending communications electronically to medical and dental care team members. This position travels between Texas City and Galveston clinic locations if/when necessary.

Required:

  • Graduation from an accredited high school or equivalent
  • 1 years of experience performing clerical type duties (preferably in an electronic health system)
  • Must have working knowledge of general office procedures, office copiers, fax machines, computers, and multi-line telephone systems and be able to multitask
  • Bilingual in Spanish preferred
  • Ability for spur of the moment transportation without relying on organization vehicles
  • Must possess or ability to readily obtain a valid driver’s license issued by the State of Texas for the type of vehicle or equipment operated
  • Department of Motor Vehicle check may be required, if applicable
  • Customer Service Oriented
  • Excellent written and verbal communication skills
  • Excellent Computer Skills MS Office
  • Must be willing and able to work evening and weekend hours if necessary
  • Must be in compliance with GCHD Immunizations policy
  • Must be in compliance with ICS training requirements
  • Must pass criminal background check and drug/alcohol screening

An equivalent combination of education and work experience which appropriately demonstrates the knowledge, skills and abilities to perform the above-described essential functions will be considered when hiring for this role.

Traditional Duties:

  • Perform Financial Screening for patients to determine eligibility for discount services in accordance with Health Resources and Services Administration (HRSA) grant requirements and identify other programs patient may be eligible for (Title V, Health Texan Women, Medicaid, etc.…)
  • Document and scan accurately into patients’ chart requirement paperwork
  • Verify insurance coverage via electronic systems or phone call; accurately load insurance information into patient chart
  • Accurately Check In patients for scheduled appointments, collect applicable fees (nominal, deposit or co-pay), document TVFC date as required, add insurance to encounter if applicable, print label to designated printer depending of visit type at Galveston location and provide patient receipt of payment.
  • Verify insurance and/or CHW eligibility is active prior to scheduling appointment
  • Assisting patients checking out by scheduling follow up appointments for medical, dental, and counseling as indicated by Providers
  • Provide Patient Care Plan and Appointment Reminder Letter
  • Sending appropriate communication to medical providers via EMR task program
  • Monitor patient communication through various contact methods – phone, email, Patient Portal and respond in a timely manner
  • Document completion of Action Task In Box
  • Accurately collecting, entering charges, and posting payments to patients’ accounts
  • Update relevant patient information to maintain an accurate patient record
  • Responsible for the security and confidentially of patient information always
  • Scanning appropriate documents accurately to patient chart and accurate folder
  • Monitoring and managing flow of the waiting rooms
  • Completing various administrative assignments and clinic reports, which includes, but is not limited to, printing daily schedules for identified staff; accurately completing and e-mailing daily Incomplete Provider Encounter Report, documenting left without being seen, etc.…
  • Maintaining copies of Coastal Health & Wellness approved forms and literature for providers and nursing staff to use in patient care
  • Deliver Dental Instruction sheets to designated Operatory
  • Edit Dental Treatment Plan fees as instructed by Dentist in accordance with Governing Board approved fees
  • Accurately calculate cost for Dental Contract Service Agreement (DCSA) in accordance with current DCSA guidelines and Governing Board approved fees as indicated on Treatment Plan, generate Agreement, explain process to patient and obtain signature
  • Sending appropriate notifications to providers via email
  • Notifying appropriate parties of maintenance requests according to Health District procedures
  • Maintaining copies of Coastal Health & Wellness approved forms and literature for dental staff to use in patient care
  • Performs other duties as assigned by supervisor
