G1 Therapeutics, Inc. is Hiring an Executive Administrator Near Research Triangle Park, NC

The Opportunity:

G1 Therapeutics is currently recruiting an Executive Administrator to join our team in Research Triangle Park, NC, reporting to the Chief Executive Officer. The Executive Administrator role works directly with the executive team, manages a small office staff, and assists with the overall office environment (building and facilities).

To be successful in this role one must handle confidential matters with the utmost discretion and judgment, have a customer-focused mindset, and function deftly within a wide range of responsibilities.

This role is office based five (5) days per week.

Responsibilities:

  • Liaise with outside agencies, partners, and stakeholders, including senior-level management, and Board of Directors.
  • Manage calendars with a keen sense of prioritization and time management to ensure maximum effectiveness.
  • Coordinate travel arrangements including agendas, flights, hotel, and transportation details for Executive Leadership Team.
  • Process expense reports in a timely manner for Executive Leadership Team.
  • Organize and coordinate G1’s Board of Director meeting planning to include agenda, travel and Zoom logistics, meals, materials, and correspondence.
  • Lead special projects for the Executive Leadership Team and act as an intermediary between the Executive Leadership Team, Senior Leadership Team, and teammates.
  • Respond, independently with sound judgment, to inquiries and correspondence from the Executive Leadership Team, Senior Leadership Team, the Board of Directors, and vendors.
  • Plan, schedule, organize and coordinate staff for a variety of meetings/events onsite, offsite, or remote which includes structuring agenda, taking notes, and managing follow up of actions from meetings.
  • Assist in the coordination and collation for presentations, for both internal and external audiences, of multiple presenters’ slides for meetings.
  • Answer phone and e-mail communications, including confidential and non-routine information, on behalf of the CEO.
  • Respond where appropriate to individual emails and calls from vendors and employees, identify the right party to help or respond.
  • Handle confidential matters with the utmost discretion and judgment.
  • Perform special projects, analyses, and research as assigned.
  • Manage Administrative Team, including receptionist and day porter.
  • Assist COO with facilities requests and building management.
  • Other duties as assigned.

Requirements:

  • BS/BA degree. Paralegal certification a plus.
  • NC Notary preferred.
  • 5 years of experience providing C-Suite support which includes supporting the Board of Directors.
  • 2 years of experience managing and mentoring a team.
  • Proficiency in collaboration and delegation of duties.
  • Ability to use excellent judgement and discretion given the role’s access to company confidential information.
  • A customer-focused mindset is key, whether interacting with the Board of Directors, CEO, executive leaders, and individual teammates or outside vendors and partners.
  • Ability to handle the stress of functioning in a fast-paced organization, meeting deadlines, anticipating quickly changing needs and exercising judgement regarding a wide range of responsibilities including conflicting priorities/work overflow.
  • Advanced skills in Microsoft Office products (Word, Excel, and PowerPoint specifically).
  • Advanced skills in using Zoom and Concur (travel and expense reports).
  • Excellent communication skills (oral and written).
  • Exceptional attention to detail and follow-through.
