REPORTS TO: Sr. Director, Distribution Center Operations

The Receptionist / Administrative Assistant will have strong planning, organizational, time management skills and have previous experience in a fast-paced, fluctuating work environment. They will be flexible, have the ability to work independently and be comfortable multi-tasking, meeting deadlines, and prioritizing among multiple projects within a dynamically changing workload.

The ideal candidate must be able to maintain a calm and focused persona under pressure, maintain professional and positive interactions with others, and can establish professional relationships and credibility with all internal and external contacts.

Your Superpowers in Action

  • Greets visitors as they enter the office entrance of the building.
  • Schedule meetings for VP and SR. Director; resolve meeting conflicts or communicate conflicts to schedule owners. Coordinate meetings with internal associates and external contacts. Schedule meeting rooms, badge access/visitor passes, and equipment as required. Draft, collect and distribute supporting documentation as required
  • Demonstrate an understanding of other managers' needs, preferences and schedules in order to provide support and is also proactive with an ability to anticipate needs
  • Provide a broad range of administrative support to VP and SR. Director, to include managing calendar conflicts and being a gatekeeper.
  • Assist materials requirement managers with the coordination of inventory, maintain material stocking levels, distributed received orders in a timely manner, and assist with the planning of future needs for front end office warehouse.
  • Identifies opportunities to improve work processes/flow to leverage own and department's workload. Keeps abreast of internal administrative policies, practices and guidelines.
  • Advise department in awareness of, and compliance with, company policies and procedures.
  • Responsible for all travel arrangements for VP and SR. Director, and potentially other senior leaders on the Operations team
  • Will own Expenses Report Management and Reconciliation for VP and SR. Director
  • Keep track of important deadlines for various larger projects
  • Work successfully in a team environment along with working closely with other admins within the business to build effective working relationships
  • Performs additional responsibilities and special projects as assigned.

Must-Have Superhero Gadgetry

  • 5 years of supporting executive level management or project manager experience in a fast-paced environment, preferably working directly with or for an Operations team
  • Has ability to own responsibilities with little direction
  • Is self-directed and proactive – asks questions to resolve problems
  • Track record of excellent time management and organizational skills to juggle responsibilities while strategizing on efficiency and priority
  • Polished and professional demeanor while also approachable and collaborative
  • High levels of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
  • Exceptional written, verbal, and interpersonal communication skills
  • Must be detail oriented to ensure accurate deliverables, and able to take initiative to meet deadlines

Work Environment

The noise level in the work environment is usually moderate. While performing the duties of this job, the employee is regularly required to sit for long periods of time; use hands to manipulate keyboard.
