Responsibilities:

Sales Team Support:

  • Draft and send out agreements for new business using Microsoft Word and Adobe PDF.
  • Facilitate the execution of agreements through Docusign.
  • Conduct research on potential new business clients as directed by the sales team.

Research and Database Management:

  • Utilize research websites to gather information on assessments, equalization ratios, municipality details, tax maps, and tax bills.
  • Develop a working knowledge of Excel to create and maintain spreadsheets displaying research findings.
  • Assist in researching and developing sales leads, entering relevant data into the company database.

Inventory Management:

  • Maintain office supplies, including notepads, pens, paper, printer toner, etc.
  • Manage kitchen and bathroom supplies such as soap, toilet paper, paper towels, etc.
  • Coordinate grocery and lunch orders.
  • Monitor and replenish inventory to ensure seamless office operations.

Office Maintenance:

  • Ensure the office is tidy by handling dishes, monitoring trash levels, and organizing shared spaces like the fridge and microwave.
  • Run errands to the post office or UPS/FedEx for shipping or returning packages as needed.

Vendor and Service Management:

  • Manage bi-weekly scheduling and communication with the office cleaner.
  • Coordinate maintenance services for office equipment as required.

Front Desk Duties:

  • Answer incoming phone calls, providing a professional and courteous response to inquiries.
  • Direct calls to the appropriate team members and take accurate messages when necessary.

Personal Assistance Duties:

  • Pick up and manage prescriptions for executive/family, if needed.
  • Handle tasks like dry cleaning, ensuring timely drop-offs and pickups.
  • Coordinate grocery shopping and routine errands for events hosted by executive.
  • Tidy executive's offices and desks at end of day to maintain an organized environment.
  • Run various errands for executive, ensuring professional and personal needs are met efficiently.

Qualifications (Additional):

  • Adaptability and Flexibility: ability to seamlessly transition between tasks. This includes the capacity to adjust schedules and processes swiftly in response to sudden changes in plans or priorities.
  • Valid driver's license and access to a reliable vehicle.
  • Ability to manage errands efficiently and with a high level of attention to detail.
  • Excellent time management skills to ensure timely completion of tasks.
  • Strong communication skills to coordinate effectively with coworkers, clients, vendors, and other service providers.
  • Proficiency in Microsoft Word & Excel, Adobe PDF, and Docusign.
  • Strong research skills with the ability to gather and synthesize information from various sources.
  • Excellent organizational skills to manage office inventory and ensure a clean and orderly workspace.
