Description

POSITION SUMMARY

Fountain House is looking for a competent, hands-on Payroll Administrator to join our dedicated and hardworking Human Resources team. We actively support the organization’s mission by fostering a safe and dignified workplace culture where employees from every background are represented, and where employees can thrive and grow personally and professionally. 

The successful individual will support the Manger, Payroll for our organization of over 200 employees. This person will perform a variety of payroll functions and miscellaneous administrative support as assigned. The position requires expertise in multi- state payroll and experience with unions. This position is part of a dignified yet fun team of six professionals and is based in New York City. We welcome applications from the tri-state area, including NJ, Long Island, and CT. 

Please Note: Hybrid (at office 4 days/month)

Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Supports the accurate preparation, documentation, distribution, and reconciliation of payroll
  • Runs bi-weekly payroll in the absence of the Payroll Manager
  • Reviews the computation of pay and associated deductions for accuracy
  •  Maintains up-to-date knowledge of local, state, and federal legislation affecting payroll and understands and follows applicable provisions 
  • Helps prepare required tax filings and other reporting, including 5500’s. 
  • Responds to and resolves any inquiries regarding paychecks or payroll reporting
  • Detects and corrects errors in payroll and other financial records in reconciling ledgers and other accounts
  • Ensures payroll issues are escalated and resolved promptly
  • Creates audit reports for management updates
  • Builds positive relationships and cooperates with different departments to increase payroll service performance and improve upon processes and procedures
  • Other tasks as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to work independently and to conduct assignments to completion within parameters of instructions given prescribed routines, and standard accepted practices
  • Ability to build trust and rapport across all levels

  • Sound judgement and critical thinking
  • Able to maintain strict confidentiality
  • Reliable and deadline-oriented (follow-through)
  • Excellent computer proficiency, including MS Office Suites (Word, Excel, and Outlook) and HRIS a must
  • Strong attention to detail and accuracy
  • Strong verbal and written communication skills
  • Extensive knowledge of the payroll function
  • Must be able to work under pressure, meet deadlines, and pivot on priorities when necessary
  • A sense of humor

REQUIRED EDUCATION, CERTIFICATION, AND CREDENTIALS

  • Associate degree required; bachelor preferred or at least 5 years’ experience in lieu of degree
  • 2 – 4 years’ experience running payroll
  • Must have strong proficiency with HRIS systems - Paylocity experience is highly preferred or a willingness to learn
  • SHRM-CP a plus but not required

Physical Requirements

  • Ability to perform the essential job functions consistent safely and successfully within the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards. 
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
