Fort Pierce Utilities Authority is Hiring an Executive Assistant Near Fort Pierce, FL

The minimum salary for this position is $26.06 per hour.
Salary assigned will be commensurate with experience.
Performs skilled executive level support functions providing day to day high level administrative and clerical support to the FPUA Board and Director of Utilities. Deals with matters of a sensitive, political and confidential nature requiring a high degree of discretion and tact in addressing interdepartmental issues and external contacts. Must exercise good judgment in decision making, and possess excellent oral and written communication skills. Work is performed under the limited supervision of the Director of Utilities.

Must possess:

  • ability to exercise independent judgment, make decisions and use considerable tact and discretion in handling confidential and sensitive matters.
  • ability to establish and maintain positive working relationships with employees, Board members and the public, and to effectively and courteously deal with public relations issues.
  • ability to project a professional image and maintain confidentiality.
  • ability to compose professional, well-written letters, reports and memoranda to all levels of management and the general public.
  • thorough knowledge of the principles and practices of office management, as well as the use of office equipment including personal computers and related software, and recording equipment.
  • ability to interpret rules, regulations and policies and to make independent decisions in accordance with laws, ordinances, regulations, policies and procedures.
  • ability to react to change productively and to handle other tasks as assigned.
Graduation from an accredited college with an Associate degree in Business Administration or related field. Five (5) years of experience in performing executive assistance duties of a progressively responsible nature, preferably for a company CEO or at the upper management level. Must be proficient in Microsoft Office with ability to pass intermediate Word test with a score of at least 80% and basic Excel test with a score of at least 70%. Will be required to create a PowerPoint presentation.
When considering new applicants, a comparable amount of training and experience may be substituted in lieu of some of the minimum qualifications.
(Note: There are also secondary functions, which the employee will be required to perform.)
Prepares agenda packages, resolutions and memos for board meetings, and all related record minutes and ensure safekeeping of such items. Responsible for coordination of Ministerial Association for Board Meeting invocations.
Primary responsibility for meeting elements such as recording, determination of a quorum and announcements of roll-call votes
Coordinates public and legal meeting notices for the FPUA Board, Director of Utilities, and FPUA attorney. Consults with FPUA attorney to ensure notices are following with the FPUA charter, state regulations and other requirements
Prepares miscellaneous reports, memos and certificate required by the State of Florida Commission on Ethics for the FPUA board and Director of Utilities
Coordinates accommodations, logistics and expense vouchers for meetings, training and travel to include agenda packages for the FPUA board and Director of Utilities
Prepares material and correspondence for executive presentations. Prepares, composes and types correspondence, communications and confidential staff documentation. Critiques and edits written articles, reports and memoranda as required. 
Maintains calendar records for meetings, travel and other events for the FPUA board and Director of Utilities
Receives, pays and maintains files for invoices and purchase orders for the Director of Utilities and Division Directors
Analyzing and develops departmental needs and budget for review and approval by the Director of Utilities. 
Signs and/or executes appropriate documents on behalf of the Director of Utilities as authorized under current policies 
Transcribes and distributes minutes of weekly Director staff meetings
Anticipates needs to include preparing documents for review by Director of Utilities and provides recommendations as requested 
Reviews incoming correspondence including email, telephone calls, interoffice communications seeking the office of the Director of Utilities or Division Directors, and refers issues to the proper person or department. Follows up referrals in complaint cases and acts as liaison which need to be resolved at the Director of Utilities level
Performs other duties as assigned
