Title Events & Beverage Manager

Job summary
● Coordinate and manage FIA fundraisers, special events, and bar service.
● Oversee all use of the FIA as a facility beyond day-to-day operation through the administration and adherence to the Facility Rental Policy.
● Work closely with the Events & Beverage Assistant and together ensure all aspects of the rental or fundraiser are completed thoroughly and in a timely manner.
Key Responsibilities
● Oversee the Events & Beverage Assistant, create monthly schedules and provide direction
● Management of bars prior to and onsite at special events and major FIA fundraisers - ordering alcohol & supplies, hire and oversee bartenders, inventory, occasional serving and bartending duties
● Coordinate catering for all internal FIA events
● Availability to work all special events and major FIA fundraisers, including on nights and weekends
● Be the primary point of contact for confirmed events. Oversee the execution of event from event agreement to finish and include a wrap up form for all events before filing.
● Collect event agreements and payment information for rentals and fundraisers and pass it on to the Events & Beverage Assistant for completion
● Prepare work orders and staffing for FIA fundraisers, events and rentals
● Recruit and manage fundraising event committees, volunteers and staff from event conception to post event summary
● Create agendas & work with Events & Beverage Assistant to prepare materials for fundraising committee meetings
● Attend all fundraising committee meetings and rental appointments
● Keep detailed, accurate, and organized rental event folders and fundraising event binders
● Create and follow checklists for all fundraisers to include lead up to the event, sponsor perk responsibilities, and event night
● Oversee vendors for all fundraisers; ensure all vendor paperwork is completed and payment is sent in a timely manner
● Provide analysis of expenses, event marketing and advertising
● Serve as a liaison for event planning and implementation with various FIA Committees and auxiliary groups including Friends of Modern Art and Founders Society
● Create and implement server instructions, check-in instructions, and volunteer instructions
● Develop relationships with vendors, businesses, organizations and individuals for use of the
FIA during events and rentals or as sponsors of FIA fundraisers
● Work with the Events & Beverage Assistant to create special offers to recruit new rental events i.e. corporate or wedding packages
● Work with the Marketing Department to publicize, promote, sell and schedule the use of the facility and on creative concept development for advertising needs including print and digital media
● Have working knowledge of Facility Rental Policies and procedures. Work closely with the
Director of Member and Guest Relations and Board Committee to revise policies and procedures as needed.
● Facilitate all Member & Guest Relations board committee meetings, keep accurate minutes and action items, assist the Director of Member & Guest Relations as needed.
Educational and Job Experience Requirements
● A background in communications, customer service, marketing, business, and/or hospitality management
● Experience with time management, multitasking, has a sense of creativity and is detail-oriented. Able to articulate ideas and problems.
● Excellent grammar, written and verbal communication skills
● Must have the knowledge and ability to use Microsoft Office Suite, Google Workspace, Adobe and Apple software and programs.
● Bachelor’s Degree or five years equivalent experience preferred
● Availability to work evenings and weekends
● TIPS/Servsafe Alcohol certification preferred
● Availability to work evenings and weekends consistently

The FIA Art School runs at full capacity from 9a to 9p with an annual enrollment of more than 1,700 students. The Art School remains dedicated to the educational enlightenment of the public through formal studio instruction in drawing, painting, photography, mixed media, printmaking, ceramics, glass mosaic, fiber, and metal sculpture. The school also provides summer camps for youth, free family activities, and a precollege portfolio development program for gifted high school students.
