Description

PURPOSE

The purpose of the Payroll Manager is to delegate the administrative authority, responsibility, and accountability necessary for carrying out payroll duties. S/he provides overall payroll support to multiple units and will work closely with the management teams. The Payroll Manager will be responsible for processing the weekly payroll function including communicating with the various restaurants on accuracy of payroll data. S/he supports all departments with accurate reporting.

RESPONSIBILITIES & DUTIES

• Managed Payroll processing for up 500 employees in multiple state including Texas, Illinois, New York and Washington DC for salary, hourly and tipped employees on a weekly basis.
• Approve and process monthly companywide expenses and reimbursements via our Payroll systems.
• Monitor and update annual changes to wage and hours (minimum wage, tip credit, sick time etc.)
• Assured the proper administration, processing and taxability of all fixed/voluntary deductions including Health, Dental and Vision Insurance.
• Work with new units on setup of all employees and training managers on proper payroll procedures
• Managed the employee life cycle changes alongside HR department which included but is not limited to: Onboarding paperwork compliance, final pay analysis, termination and separation compliance documentation.
• Ensure all payroll support documents are scanned and categorized for each Payroll profile.
• Processing of manual checks for terminated employees and replacement checks for employees.
• Process documents received such as, garnishments, Tax Levy, child support orders, Employment verification forms and complete state unemployment questioners.
• Processing stop payments or adjustments of payroll
• Contributing to team effort by accomplishing related duties as needed.
•  Complete all the Year End Payroll Operations including issuing W-2 to all employees.

Qualifications

• MINIMUM QUALIFICATIONS & REQUIREMENTS

  • Must have worked with a payroll size greater than 500 employees, including multi-state payrolls
  • Knowledge of Excel and familiarity with Microsoft Word.
  • Should be comfortable with computer applications in general
  • 10-key by touch
  • 5 years’ experience
  • Strict confidentiality a must

  OTHER INFORMATION

  • Standard payroll process should be performed independently
  • Acknowledgement that all Payroll processes must be followed in detail. Employee handbook and payroll process guidelines must be reviewed frequently to ensure adequate knowledge of formalized processes.
  • Payroll Manager will lead the department by training new coworkers, working with new units, and alerting Finance when procedures require clarification and documentation. This includes leading by example and displaying the Fig & Olive Core values (enthusiasm, desire, integrity, excellence, hospitality). This does not include management of employees nor ability to hire, terminate, or discipline.
  • Interaction with all coworkers should be professional, ensuring coworkers are aware of the full disclosure requirement that is expected of the payroll department.
  • Payroll will assist with standard recurring HR processes (i.e. new hire paperwork, termination paperwork)
  • The development of HR processes should be completed by HR only.
  • Keep confidential HR information private and secure
