The Research Department of the Federal Reserve Bank of Richmond is looking for a Senior Administrative Assistant, reporting to the Research Administration Manager. As the Senior Administrative Assistant you will provide administrative support for the Richmond Regional Executive and Research initiatives. Responsibilities include but are not limited to, preparing, revising, and developing documents; maintaining and/or monitoring calendars, files, emails, deadlines and appointments; making travel arrangements; coordinating meetings and supporting the administrative needs of events; maintaining databases; acting as a liaison to other departments; and completing assigned projects. What You Will Do: Perform a variety of complex administrative and business support activities; anticipates and manages workflow, and proactively coordinates upcoming deliverables for core Research programs and processes. Provide direct administrative support, including calendar management and travel coordination, to the Richmond Regional Executive and Economist. Provide administrative support for core Research programs including the Research Publications and Economic Education initiatives, creating online course registrations, managing attendee lists, coordinating room or virtual meeting set up, and distributing course materials to attendees. Provide meeting and event administrative support, including scheduling rooms, setting up virtual meetings, managing invitation lists, escorting visitors, coordinating room set-up and day-of meeting logistics, and arranging transportation and hotels Proofread often confidential documents to ensure crisp, clear and concise content; review and edit documents and presentation materials for consistency and continuity; identify and correct data discrepancies Perform purchasing and payment activities for the department, working within established guidelines to ensure compliance with Federal Reserve policies and timely payment of invoices. Maintain department records to meet requirements of audits and operations reviews. Continuously improve processes and practices; ensures that processes and practices adhere to relevant policies and compliance requirements Actively participate on workgroups for the Department, Fifth District, and Federal Reserve System levels Serve as a back-up to other department Administrative Assistants. Qualifications: High school diploma or GED 5 years of prior administrative assistant experience Ability to organize, prioritize and manage multiple tasks/projects and meet deadlines including the management of multiple calendars and inboxes to ensure the completion of key deliverables Experience communicating verbally and in writing while collaborating effectively with multiple stakeholders at all organizational levels Ability to apply business savvy and sound judgment in dealing with complex and often sensitive situations Attention to detail and ability to work with precision Ability to anticipate and solve problems in practical, creative ways Strong action-orientation with a focus on proactivity Command of MS Office products (i.e. Word, Excel and PowerPoint) and collaboration tools (SharePoint, Teams) and the analytical skills to put them to full use Ability to respond to internal or external requests for information in a timely manner Discover the Reason Why So Many People Love It Here! The hiring range of the Administrative Assistant - Senior is $48,300 - $60,400 annually. Salary offered will be based on the job responsibilities and the individual’s knowledge, skills, and experience as defined in the job qualifications/experience.
