Federal Reserve Bank of Chicago is Hiring an Event Coordinator Near Chicago, IL
Company Federal Reserve Bank of Chicago You will have primary responsibility for the daily operations and activity on the conference center floor. This includes assisting with audio visual needs, catering deliverables, and directing attendees upon arrival. Also you will support Hospitality Services, in particular, special events, and bank meetings/conferences, in multiple administrative and logistical responsibilities. This includes supporting Senior Coordinators and liaising with partner departments to meet all client requests and needs. You will report to the Hospitality Services Team Lead and you will have no direct reports. Your Responsibilities: You will work with clients to understand program and event needs Develop special events and Bank meetings and conferences by organizing all logistics related to facility and space selection, room set-up, audio-visual and technology needs, coordination of food and beverage needs, and liaising with the food service provider, attendee arrival and flow process, hotel room blocks, ground transportation, and related activities, observing departmental procedures You will provide accurate information to all departments/vendors for execution, and liaise with departments/vendors to ensure all details and last-minute changes are addressed; monitors room set ups, catering, AV needs, virtual support, etc. to ensure accuracy of client requests Provide exceptional customer service throughout the event coordination process and in all interactions You will assist Management with a variety of duties, which may include supervising workflow and delegation of daily activities, coordinating off-site events, providing staff training and guidance, assisting with the department budget and monitoring expenses and other projects within the hospitality services department. Your Background: High School Diploma or equivalent experience Minimum 5 to 7 years of direct conference/event planning and client service work related experience, plus supervisory experience Exceptional client service skills Demonstrated critical thinking and decision-making abilities Strong interpersonal skills with high degree of professionalism Strong written and oral communication abilities Excellent organizational skills Ability to work independently and as part of a team Ability to understand the department, Bank, and client budgetary and expense constraints Must be flexible with demonstrated ability to work in a fast-paced environment, and be capable of managing multiple priorities Proficient PC skills with experience using MS Word, Excel, PowerPoint, and Access Knowledge of audio-visual equipment Ability to negotiate contracts Experience with virtual event software/hybrid event planning Experience with MS Teams and/or WebEx Position requires occasional morning coverage (early as 6:45a CST) or evening coverage (late as 5:45p CST), and requires flexibility with work schedule to meet business needs including overtime, occasional evenings, and weekends Position requires extended periods of walking and standing Preferred but not required Certifications- CMP, CEP, DES, PMP Our Benefits: Comprehensive benefits package include medical, dental, vision, prescription drug coverage, 401k savings plan, retirement plan, paid time off, transit benefit, onsite gym and subsidized cafeteria A continuous learning environment with opportunities to gain new skills and grow your career Requirements All Federal Reserve Bank of Chicago employees must be fully vaccinated against COVID-19, and receive a booster shot within 30 days of being eligible to do so, unless the Bank grants an accommodation based on medical condition or sincerely held religious beliefs.
