JOB DESCRIPTION

Payroll Specialist

The Payroll Specialist works with management and staff across all departments and facilities to prepare and process payroll. This person will work closely with the Chief Financial Officer, the finance team, and the Director of Human Resources to collect, tabulate and input timecard data to ensure our great people are paid correctly and timely, along with other duties as assigned.

RESPONSIBILITIES

  • Interface with HR for bi-weekly payroll, employee updates, and new employee onboarding.
  • Administers payroll system functionality for payroll, time and attendance, and scheduling through timely, effective, and proactive communications.
  • Compiles payroll data including hours worked, PTO, taxes, insurance, and other deductions to be withheld from timecard, timesheets, and other records.
  • Uses payroll and timekeeping systems to compute employee time. Verifies that all managers have submitted electronic timesheets no later than designated deadline of a payroll week.
  • Accurately enters corrections into timekeeping and payroll systems.
  • Reviews wages computed and corrects errors to ensure accuracy of payroll.
  • Prepares direct deposit file. Receives approval from Chief Finance Officer to initiate funds transfer and provides documented approval to Lead Accountant and Factory Accountant to perform online transfer to fund payroll accounts. Uploads and transmits payroll file prior to established deadline.
  • Finalizes pay run in timely manner to ensure staffs have online access to pay statements prior to payment. Prepares and distributes paychecks on an occasional basis.
  • Compiles data, reconciles, prepares, and finalizes W-2 information.
  • Verifies that taxes are withheld correctly prior to submitting information for payment. Processes all other payroll withholdings for distribution, including creating/maintaining spreadsheets, check requests to Accounts Payable, and making/reconciling on-line ACH payments to appropriate vendors.
  • Records changes affecting net wages such as exemptions, insurance coverage, and payroll deductions to update master payroll records.
  • Records data concerning new enrollments for retirement plan contributions.
  • Processes additional employee checks as directed.
  • Prepare, verify, and pay terminated employees any final payments due.
  • Cross-trains Accountant as Payroll back-up in the event of emergency.
  • Maintains strict confidentiality about all payroll and employment records. Maintains required confidentiality regarding employees, families, co-workers, and organizational business.

QUALIFICATIONS

  • Three to five years' experience in accounting/payroll position (in a manufacturing setting preferred).
  • Proficient in various software programs such as UKG, Workforce GO, Sage Contractor 100, MS Excel, MS Word, PowerPoint, and Microsoft 365 Cloud based systems.
  • Able to demonstrate proficiency in Excel spreadsheets and graph generation.
  • Legible handwriting and excellent grammar and spelling skills.
  • Ability to prioritize and receive direction from multiple people.
  • Demonstrate professionalism with customers and co-workers in a consistent business-like manner.
  • Ability to communicate effectively in a courteous and professional manner.
  • Attention to detail.
  • Punctual and dependable.

REQUIREMENTS

  • In-Person (this position cannot be performed remotely)
  • This role requires signing a confidentiality agreement, intellectual property rights agreement, and non-compete and non-disclosure agreement
  • Background check results that meet Fading West’s standards
  • Reference check that speaks to the positive character of the applicant
  • May be required to regularly stand, sit, or walk for long periods of time, lift or carry more than 50 pounds, climb/balance on stairs or ladders, stoop, kneel, and crouch
  • Must be competent and comfortable in basic computer skills and navigating modern technology

COMPENSATION

  • Hourly Rate Range: $22.00 to $28.00 per/hour
    (Rate commensurate with experience)
  • Fading West rigorously adheres to Colorado’s Equal Pay for Equal Work Act, C.R.S. § 8-5-201(1)
