Summary: In this Office Manager role, you will be the key person owning many of the operational and administrative responsibilities at SS&C Eze’s Boston office. You will maintain/build relationships with internal and external stakeholders. The role will also have executive admin responsibilities supporting calendar/meeting/travel management for one or two executives. Responsibilities Manage day-to-day operations to provide a comfortable and optimal working environment for the Boston-area offices, focusing on employee safety, well-being, and morale. Support employee return-to-office by implementing and enforcing adherence to health and safety policies and protocols. Represent the company by being the first point-of-contact for incoming employees and visitors. Manage hoteling (OfficeSpace software) platform for employees’ hoteling needs, including managing meeting rooms, directing employees to resources, and answering questions. Serve as the first point of contact for general administrative office needs. Coordinate the execution of internal employee events including assisting with new hire onboarding and organizing/scheduling employee engagement events. Provide exec admin support to one or two executives for managing calendars/meetings and travel needs including expense submission. Help Organizational Development team on data entry, organizing employee files, etc., as needed. Performs other duties as assigned Have excellent time management skills. Have a friendly demeanor Examples: Maintain and oversee general administrative office needs, including weekly grocery and lunch orders, external vendor management, organizing monthly supply orders, etc. Arrange for special events such as all-day meetings, celebrations (ice cream special, etc.). Support the ongoing maintenance of our physical office space (including placing work orders). Responsible for incoming/outgoing office mail/courier. Manage security access badging for guests, new hires, terminations, and any other needs, managing physical keys, following and encouraging others to follow security policy protocol, working with building security, working with security vendor on projects. Manage fire extinguisher testing, lead the evacuation team, responsible for coordinating evacuation team and evacuation plans. Be an active participant in all audits. Coordinate with IT to ensure that employees are getting the correct equipment/access.
