Excel Engineering, Inc. is seeking a team-oriented, highly motivated, and experienced Accounting Manager for our Mounds View, MN office. Our Manager position will oversee the administrative and accounting support for all business units. Responsibilities may include duties in the following areas: Accounting, Project Management, Payroll, Office Management, and Staff Augmentation Operations. This position has a large variety of involvement in all aspects of the Accounting and Administrative functions. Primary Areas of Responsibility:

  • This is a hands-on position which requires working alongside the accounting and administrative personnel to accomplish the required duties and tasks.
  • This position will participate in leadership meetings to stay abreast of all company activities which effect the accounting and administrative department functions.

Supervision and Mentoring of Staff:

  • Manage the accounting and administrative staff’s schedules to meet deadlines.
  • Perform reviews and provide leadership, training, and mentoring of employees.
  • Oversee the employee’s accurate completion of duties in the following areas:

Accounting:

  • Accounts receivable: Invoicing projects on a timely basis and collection calls as needed
  • Entering of invoices into client portals for payment
  • Accounts payable: Entry of vendor invoices and processing of vendor payments
  • Annual 1099 reporting and compliance
  • General ledger and financial statements: Processing month end journal entries
  • Financial reporting and analysis: Internal controls monitoring and fixed assets and depreciation
  • Billing administration and time and expense processing
  • Project accounting: Reporting and archiving
  • Client and vendor audits
  • Accounting setup of new employees

Project Management:

  • Accurately update project records with PO amounts and changes
  • Review and adjust project setup to bill clients accurately and as requested
  • Work with project manager engineers to timely bill and close out projects
  • Client billing rate updates and new employee additions

Payroll:

  • Timesheet processing
  • Process payroll and provide all required reporting such as 401k and Union
  • Quarter and annual reporting and compliance such as W-2s, and 1095-C’s
  • State tax reporting and compliance with unemployment laws
  • New state setup of all required taxes

Office Management:

  • Contract review, filing and organization of client contracts
  • Office supplies, greeting clients and receiving deliveries, answering main phones
  • Preparing packages for mailing and shipping
  • Copy machine – work with IT on maintenance, supplies, copy counts
  • Office security and office maintenance
  • Insurance administration and COI requests
  • Firm licensing and State registrations
  • Contract and lease renewals and management

Staff Augmentation Operations:

  • Client proposals for projects
  • Employee interactions regarding time and expense tracking and reporting
  • Transfer of time and expenses from client portals to Excel’s system
  • Contract renewals and administration

Requirements

EDUCATION and EXPERIENCE REQUIREMENTS:

  • 4-Year Degree in Accounting, business administration, or related field.
  • 3 or more years of supervising employees.
  • 5 or more years’ experience working in an office environment.
  • Working knowledge of an accounting software package. Deltek VantagePoint a plus.
  • Demonstrated proficiencies in Microsoft Office Suite – Excel, Word, and Outlook.
  • Effective task management, dedication to high quality service, and thorough attention to details.
  • Exceptional written and oral communication skills.
  • Enthusiasm working with many internal clients in a fast-paced environment.
  • Demonstrated interpersonal skills and experience in working as part of a team.
  • Proven problem-solving skills.
  • Experience with EOS a plus.
